About the role

Our client, an international organisation, is in need of an audiovisual meeting coordinator. With an average of 50 meetings per year welcoming between 20 and 120 participants, they are looking for an organised and details-oriented coordinator. Your role will be to ensure the success of each event, and to coordinate them with all the stakeholders.

Work tasks

  • Meeting planning and organisation (agenda creation/execution, schema production, material content/equipment coordination)
  • In collaboration with meeting organisers, stakeholders’ coordination (preparation with participants, meeting objectives understanding)
  • Service providers coordination (for audio-visual equipment, interpretation tools, etc.)
  • Meeting coordination and unexpected issues management (planning, setup, and execution)
  • In collaboration with the service providers, ensure meetings coordination (test and setup of technical details of video conferencing)
  • Meeting materials preparation and distribution (agendas, presentations, etc.)
  • Post-event management (feedback surveys, reporting, minute distribution, etc.)

We are looking for

  • Recently graduated in the Business Administration field, or any related area
  • A first experience in online event coordination (internship accepted)
  • Strong knowledge of Microsoft Teams and Zoom
  • Fluent in English, French is a plus
