ZURICH Capability Center is looking for

EXECUTIVE ASSISTANT

As an Executive Assistant your main responsibilities will involve

Provide full secretarial and administrative support to several executives within any unit or department in the most effective, efficient way.

Schedule and maintain calendar of appointments

May be requested to edit (or copy/type) and format documents/presentations under clear direction from the manager

Manage and coordinate all travel itineraries and expenses reports

Welcome/interact with visitors promptly

Organize events, meetings and conferences including the coordination of facilities and caterings.

Responsible for all logistics and coordination related to department/group meetings. These meetings may involve participants from multiple departments, booking meeting rooms and setup of video conference systems.

May take part in well-defined meetings and record minutes of the discussion

Assist in training or briefing of new employees

Helps coach and develop those individuals that are new to the role or in need of support and assistance

Collaborate in the internal initiatives to support the organization and contribute to the company goals.

Any additional tasks as assigned

Your Skills and Experience

As an Executive Assistant your skills and qualifications will ideally include:

At least 5 years’ experience working as an Executive Assistant in an international company with top level executives

Experience working in a multi-cultural environment involving elements of office management and/or supporting team projects

Experience working remotely with managers (i.e. based in a different location)

Proficient in Microsoft Office Products (Outlook, Word, PowerPoint, Excel, Teams)

Excellent verbal and written communication skills in English/Spanish

Good teamwork skills
