Executive Assistant

Primary : Executive Assistant to CEO and Managing Partners to support with firm and personal tasks. Assist EXCO on all administrative related needs.
Secondary : Support for the operations of SYZ Capital.

Your missions

Job description/ key responsibilities:


  • Assist Managing Partners for personal and professional matters regarding Travel and Entertainement

  • Help with calendar scheduling and emails

  • Assist Managing partners with all administrative tasks

  • Monthly T&E Expense sheets

  • Assist with preparation of documents and presentations (EXCO, Board)

  • Document signing and coordination

  • Support in servicing clients and prospects. Focus help on client reporting, client meeting support, marketing support

  • Assist with Client relationship and communication

  • Investor Meetings and follow ups

  • Preparation of Marketing materials

  • Coordinate Email fund newsletters and emails from Partners to investors

  • Assist Team with Event Organisation and Conferences

  • Keep up to date CRM database

  • Filing of documents

  • Coordinate with intra group related entities as well as service providers regarding any operational and administrative requests

  • Back up for SYZ Capiral operations manager

  • Investment committee secretary back-up (content, portfolio, platform & supervisory)

  • Participate in weekly SYZ Capital Operations Meetings / Calls

  • Support COO and Operations Team with all tasks related to SYZ Capital Operations

  • Administrative support to local team, organization of travel calendar, meetings, events

  • Management of marketing reports and merchandising

  • Assist and implement marketing and communication projects

  • Relationship with service providers

  • Review and assist all investment teams in deals, funds and investor documentation drafting and communication

Your profile


University degree preferred

Professional experience:

  • A minimum 5 years of experience as Executive assistant, ideally in office management, financial services administration or management consulting

  • Ideally an experience in alternative investments, middle and back office

  • Legal background a plus and ideally familiar with Luxembourg investment structures
