Job Description:

Main Responsabilities:

Day-to-Day Operations:

  • Execute and oversee the day-to-day operations for aviation fuel deals generated by the trading team.

  • Adhere to terms stipulated by traders to ensure accurate and efficient execution of contracts.

  • Provide coverage for colleagues during vacation/illness as per Team Leader requirements.

Communication and Point of Contact:

  • Act as a point of contact for internal and external issues or disputes for the team.

  • Participate in regular team meetings to address operational issues, resolving or escalating them to the Team Leader when necessary.

Team Leadership and Mentorship:

  • Maintain a positive work environment within the team.

  • Serve as a role model and mentor for team members, fostering a collaborative and learning-oriented atmosphere.

  • Assist in the training and development of apprentices and graduates.

Commodity Knowledge:

  • Demonstrate superior knowledge of multiple commodities, particularly aviation fuels, including Kerosene, Naphtha, and JET.

  • Understand the components and specifications of these commodities, with expertise in Jet A1, DEFSTAN, and ASTM standards.

  • Knowledge of sustainable aviation fuel standards desirable.

Logistics and Operations Expertise:

  • Manage complex logistics in the aviation fuel sector, interacting with ports/terminals, agents, cargo inspectors, and other stakeholders.

  • Optimize trader strategies by utilizing knowledge of product movement and relationships with external parties.

  • Resolve and communicate any transport issues that arise with traders, accounting for the dynamics of delivery and supply.

Contractual Risk Management:

  • Train the team to develop and interpret complex contracts, understanding financial exposures between purchase and sales contracts.

  • Review contract drafts received from third parties or generated by the company's Contracts department.

  • Identify and highlight discrepancies to the Contracts team within one working day of receipt.

New Business Implementation:

  • Assess risk in non-standard contracts and implement new regions and/or long-term tenders.

  • Review and coordinate the implementation of resources, providing advice to the Team Leader.

Learning and Development:

  • Prepare and present training and development materials, teaching others and facilitating learning.

  • Assess and recommend training needs for individuals in coordination with the Team Leader.

  • Cross-train across different operations roles and desks.

Regulatory Compliance:

  • Assist in the monitoring of activities in new markets, identifying areas requiring compliance review and escalating promptly.

  • Identify any non-compliance with the company's processes, procedures, and compliance policy.

Reporting and Issue Management:

  • Concisely and promptly escalate operational issues to the Team Leader and/or Regional Operations Manager.

  • Provide clear weekly summaries of all operational issues and record issues within one working day of identification.

  • Participate in audits, responding to audit requests in a timely fashion.

Stakeholder Management:

  • Establish and maintain good working relationships with appropriate industry peers and third-party service providers.

  • Work closely with key stakeholders including Country Operations Manager, Regional Operations Manager, Bench Traders, Book Leader, and other internal departments.

Systems and Process Improvement:

  • Follow the System Management Policy, escalating IT improvement suggestions in writing to the Team Leader.

  • Participate in in house ETRM Development and Testing, reporting issues that pose a challenge to the desk or operations.

Financial Management:

  • Review desk cost accruals, ensuring proper costs are booked against each trade and storage facility in line with Group Cost Management policy.

  • Manage aged debts (cargo and non-cargo) in line with procedures.

Health, Safety, Environment, and Crisis Response:

  • Ensure the desk adopts and implements HSEC policies.

  • Learn and observe during periods of Crisis Response, serving as interim Deputy or other TL/Regional Head as needed.

Continuous Improvement:

  • Proactively identify and report absent or outdated business processes or procedures.

  • Drive business change where failings are identified, and improvements are implemented.

Experience, Skills & Knowledge Required:

  • Bachelor's degree in a relevant field.

  • Proven track record in aviation fuel operations and logistics.

  • Proven experience as a team player with coordination, negotiation, and creative problem-solving skills.

  • Superior knowledge of multiple commodities, with a focus on aviation fuels, including Kerosene, Naphtha, and JET, along with associated storage, blending, inspection procedures, and regulatory compliance.

  • Expertise in cargo shipment procedures, transport laws, and vessel cargo operations, optimizing trader strategies.

  • Experience in assessing risk in non-standard contracts and implementing new regions or tenders.

  • Strong understanding of incoterms, oil major GT&Cs, and the ability to review and interpret complex contracts.

  • Experience in vessel cargo operations, contract management, and risk assessment.

  • Knowledge of industry standards, regulations, and compliance requirements.

  • Strong communication and interpersonal skills.
