Executive Assistant / Paralegal to the General Counsel

Executive Assistant / Paralegal to the General Counsel You are a business professional who understands the landscape of a multinational organization, and all the stakeholders involved. In a one-on-one working relationship, you will provide support and serve as the primary point of contact for the General Counsel, who plays a central role in the company. Vital to the role is your ability to handle high-level interactions and understand the intricacies of the business, while focusing on compliance and corporate housekeeping procedures. You will provide confidential administrative support to the General Counsel with regards to corporate secretarial duties. Tasks and responsibilities include, but are not limited to: General Counsel support Assist the General Counsel by facilitating the smooth operation of the company’s formal processes. Manage the calendar, ensure that appointments are scheduled in accordance with the priorities of the business. Arrange associated travel and accommodations. Pre-screen and prioritize phone calls. Take minutes and follow up on actions from meetings, including review processes. Support the General Counsel with corporate transactions and projects. Ensure rigorous monitoring of deadlines relating to tasks and activities. Provide back-up for other assistants as required, and assist in ad-hoc tasks as assigned. Board support/Committee meetings Formulate agenda and oversee the maintenance of the annual calendar of board and committee meetings. Collate and distribute papers and presentations in a timely manner, while ensuring quality and consistency. Act as the main point of contact for all board- and committee members; facilitate smooth communication between the executive leadership and board, including the advance distribution of any necessary materials prior to meetings. Annual General Meeting (AGM) Assist the General Counsel in organizing the AGM, including drafting and distributing necessary documents to shareholders. Data management Assist in the maintenance of accurate company records, statutory registers, company books, and corporate and legal databases in real-time, so that documents can be accessed and retrieved in a timely and efficient manner. Enter new contracts, scan all documents necessary for the proper performance of legal activities, and legalize documents on behalf of various group entities. Ensure the absolute confidentiality of data at all times. Your Personality, Education & Skills. First and foremost, you are loyal, have a diplomatic nature and respect confidentiality. Being adaptable to competing demands, you exercise good judgment and maintain a realistic balance between multiple priorities. As a self-directed, trustworthy person with polished business manners and an acumen that facilitates dealing with people smoothly and easily, you will perfectly fit in. Building trust and caring about every detail will be crucial to your success. What else is required? Commercial or Bachelor’s degree in Business Administration or a secretarial diploma; a paralegal practice certificate is a definite plus. Minimum 8 years of experience in an executive assistant role supporting senior-level executives at a multinational company. Fluent in oral and written business English (native or Proficiency level); knowledge of French or German is an asset. High level of IT literacy, including full proficiency in MS-Office Suite. Working knowledge of legal procedures is an asset, as well as compliance-related or contract administration expertise. Ability to work at a fast pace and within tight deadlines; ability to think strategically, and execute plans successfully. Excellent organizational skills; ability to provide quality work through attention to detail and strong follow-up skills. Positive, dynamic and proactive attitude with the willingness to provide the highest level of client service; results-driven with strong problem-solving skills. Reliable and committed to dealing with confidential information; must be able to respect strict privacy requirements, both inside and outside of the organization. Maintain a positive attitude towards corporate initiatives and changes in management. Emotional maturity, strong interpersonal skills, and an ability to build relationships with stakeholders.
