In order to reinforce our SME Operations department, we are looking for a HSE, Facility & Operations Officer.

Purpose of the position:

As HSE, Facility & Operations Officer, you ensure that the Geneva office is a safe and pleasant environment that fosters efficient business interactions & work activities. You also support your sales & marketing colleagues on operational processes to achieve great business results.

You are responsible for the safety & security of all Switzerland employees (both onsite & field-based) as well as the compliance to policies & procedures when it comes to safety and security and other key office-operational topics (e.g. travel, telephony, archives) and processes (business support activities). You are also responsible for overseeing the operations & managing the process on the day-to-day related to certain sales & marketing operational activities.

You are accountable for these topics, monitoring and reporting regularly to senior management.

Responsibilities:

  • Site Services & Security: you make sure that the office is running in a smooth & safe way
  • Management of reception staff
  • Monitoring of security systems & accesses
  • Vendor & invoice management
  • Office maintenance, logistics & supplies
  • Support on office initiatives
  • Health, Safety & Environment (HSE): you are in charge of ensuring the work environment for your colleagues is a safe & healthy & sustainable place.
  • Governance & metrics monitoring
  • Risk management – preventive actions & training
  • Training – driving a safety culture
  • 1st point of contact for injuries & issues resolution & corrective actions
  • Business operations: you are responsible for certain business operations processes: from oversight to execution and process improvements
  • Employees travel oversight
  • Archiving & record retention management
  • Promotional materials printing & stocking.

You are the 1st point of contact for the Swiss Affiliate & Export employees for all questions or issues related to office logistics, safety & security as well as health & environment-related topics in the workplace. You are also the key coordinator for Switzerland with Lilly affiliates & International on the above topics as well as the vendor relations owner for the Geneva office vendors.

Basic Requirements:

  • Strong knowledge of Swiss authorities' requirements with regards to safety at work, employee health protection and corporate sustainability
  • Solid technical expertise in facility management & operations, with a focus on employee health and safety
  • Familiarity with pharma industry environments
  • Quick learner & curious mindset
  • Ability to work independently & be proactive
  • Pragmatic, solution-oriented & positive mindset: you like problem-solving
  • Hands-on, keen to do things yourself: you like doing things yourself
  • Great interpersonal skills, ability to build trust & connection with people
  • Excellent communication & presentation skills

  • Ability to deliver in a timely manner within resource: you are able to manage a budget
  • Ability to work in a fast-changing, complex and ambiguous environment

Education:

  • Technical education such as CFC in a building-related field or equivalent
  • Certification as an Health and Safety specialist
  • Similar professional experience

Languages:

  • Fluency in both English and French is essential - German as a strong plus

Additional Skills/Preferences:

  • Familiarity with pharma industry environments.
