Project Coordinator – sport club relations & congresses

 

  Votre profil :

 

-          Perfect knowledge of the International Sporting Federation environment

-          Ability to work on different projects at the same time

-          Good knowledge of the Motor Sport environment

-          English - Mother tongue or Full professional proficiency

-          French - Mother tongue or Full professional proficiency

-          Spanish or russian would be a plus

-          Very good adaptability

-          Used to a multicultural and diverse environment

-          A solution finder attitude

-          Can easily travel in various countries for the events

-          Excellent communication and interpersonal skills

-          Strong IT skill

-          Excellent command of the Pack Office and good command of InDesign and Photoshop (Illustrator a plus)

-          Customer focus and service oriented

-          Team player and works effectively with different departments and stakeholders

-          Ability to work in a complex, political and dynamic multi-cultural environment and under pressure

-          Autonomous and proactive

 

Main responsibilities :

·         SPORT CLUB RELATIONS - Transversal

- Share the responsibility of the updates of the networks platform with the team

- Regular updates on Salesforce / Internal Guide / Annuaire, based on the information shared by the 3 Project Managers

 

·         SPORT REGIONAL CONGRESSES EVENT COORDINATION

Before the event:

- Help in the preparation of the congresses, on the event and logistic aspects

- Communication / Branding: logos updates (or liaison with the Comms Department), creation of backdrops, creation of the event leaflet or other communication tools on Indesign, reprography orders...

- Creation and coordination of the production of welcome packs, goodies, trophies, lanyards...

- Coordination of the shipment for each Sport Regional Congress: packing list and preparation of the flight case

- Work on the registration platform system Aventri (registrants lists, rooming lists...)

- Creation, production and check of the nominated badges and certificates of participation

- Preparation and compilation of the satisfaction surveys

 

During the event, on site:

- In charge of liaising with the local technical/logistical teams with regard to the organisation of the event (set up of the room, branding, President’s office etc., preparation of welcome bags, set up of  the Welcome desk etc).

- Follow-up with the host club or the hotel directly regarding the accommodation and travel of the participants to the venues

 

·         FIA CONFERENCE EVENT COORDINATION

Before the event:

- In charge of the Sport Committee: organisation of meetings, agenda and follow up

- Coordination of the logistics/technical issues with the Marketing & Events Department and of the communication plan/content with the Communication Department

- Contribution to the content programme (research on topics, speakers...)

- Coordination of the leaflet programme and event brochure

- Liaison with speakers/guests, help on the registration platform Aventri (if required)

- Preparation of the speakers' biographies, the floor plan

- Follow-up of the budget with the Events Department

 

During the event:

- Participation to the coordination of the sessions rehearsals (general rehearsal and the one with the speakers as well)

- In charge of liaising with the AV team to display the various presentations and videos

 

After the Conference:

- Coordination ofn the Post Event Brochure

- Thank you letters to the speakers

- Budget follow-up
