The Coordinator, Office Management plays a key role in the administrative aspects of the site management. He/she leads cross-functional non-GMP initiatives and acts as main point of contact for these topics for both management and employees from all functions on site (e.g. Manufacturing departments, QA & QC Departments, IT, Facilities, EHS, HR, etc.). Strong organizational, prioritization, interpersonal and communication skills are required. In addition, the ability to handle sensitive and confidential material is essential to the position. The Coordinator, Office Management works in close collaboration and alignment with his peer based at Boudry/Couvet and reports into the Site Head. In this role, you are responsible for: Organizing meetings (incl. invitations, minutes, follow up action items, host accommodation, IT setup for remote meetings, interviews, etc.), Leading non-GMP cross-functional initiatives and projects (e.g.: trainings and workshops for all departments, Community services initiatives). Providing support to line managers during pre-on-boarding phase: accompany processes with IT, Facilities, QA, Finance and HR, and ensure consistency across departments, Maintaining the list of employees based on site and liaises with Finance, HR and Facilities as appropriate, maintain the related Outlook distribution list, Acting as a contact person for the Facilities Team for all general questions related to the site (incl. moves, cafeteria, transportation, mail (internal & external), etc.), Acting as a contact person for employees’ special non-GMP requests, needs or questions, Organizing events and off-site meetings, Leading the communication at site level for administrative topics, liaise with Corporate Communications and Boudry Headquarters as appropriate. Taking care of internal and external visitors’ accommodation (welcome, office location, lodging,meals, transfers, etc.), Follow up budgets (e.g. employee trainings, Travel & Entertainment, employee relations), Making travel arrangements (incl. group, multi-locations, and multi-date trips) and prepare expense reports, ensure compliance to Travel & Entertainment Policy, Managing SharePoint sites and shared folders; prepare templates, compile and send out reports You have You are a team player and willing to work in an environment where individual initiative and accountability to the team are required, Strong interpersonal skills, Innovative, hands-on, Solution oriented attitude, Must be able to work with limited day to day supervision, Reliable and detail oriented, Excellent written and oral communication skills in both English and French Able to appropriately handle confidential information, Interest for IT systems (e.g.: to conferencing systems, webinars, information sharing platforms, instant communication, mobile devices, etc.), A business/administrative school graduate or equivalent, A strong experience in a multinational environment, including cross-functional coordination experience at Site Management level, Bristol-Myers Squibb recognizes the importance of balance and flexibility in our work environment.
