Executive Assistant to WTO Ambassador

Please note that this position requires the successful candidate to obtain and maintain an Australian Government Security Clearance to Negative Vetting 1. Applicants must therefore be Australian citizens and can be dual citizens with the following countries only: New Zealand, the United States of America, Canada, and the United Kingdom. Applicants cannot be a dual national of Switzerland in order to be eligible.

About The Department of Foreign Affairs and Trade
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas.
The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

The Australian Permanent Missions to the United Nations and the World Trade Organization in Geneva pursue Australia’s interests in the United Nations and World Trade Organization through international diplomacy. The Australian Consulate-General in Geneva provides services to Australian citizens in Switzerland and Liechtenstein.
About the position
Heading up the Office of the Ambassador to the WTO, this is an exciting opportunity to work in the fast-paced world of diplomacy. You will play a pivotal role in supporting the Ambassador to execute Australia’s agenda at the WTO and other international economic organisations. Providing high-level administrative and organisational support, you will have overall responsibility for the Ambassador’s diary, official events and the associated administrative and financial reporting requirements.
The key responsibilities of the position include, but are not limited to:
- Strategic scheduling and diary management.
- Managing the official Residence for Representation functions.
- Organising and managing official Representation functions; this may involve occasional after-hours work.
- Coordinating briefing requests with officers for Ambassador level meetings.
- Managing complex travel and efficient appointment scheduling to optimise use of time when on official travel.
- Preparing administrative documents and acquittals for the Ambassador.
- Assisting in the organisation and support of official visits, including by government ministers.
- Providing back-up to other administrative staff when required, including the executive assistant to the Deputy Ambassador, travel arrangements and general research/enquiries.
Qualifications/Experience
- Be a dynamic worker, able to anticipate the needs of the Ambassador.
- Have the ability to work both tactically and strategically in order to optimise efficient use of the Ambassador’s time.
- Excellent English communication skills, both oral and written.
- Enjoy networking in an international and cross-cultural context; building relationships with immediate colleagues, counterparts at other Missions and suppliers.
- Have sound judgment and a capacity to exercise high-level discretion and confidentiality.
- Strong organisational skills, adept at managing competing priorities and problem solving.
- Demonstrated high-level administrative and organisational skills and attention to detail with a good grasp of business computing applications.
- Knowledge of, or an ability to quickly acquire a knowledge of Australian Government legislation or departmental policy and guidelines in relation to the position duties.
- Proficiency in French is desirable.
SELECTION CRITERIA

A. Ability to undertake a high level of executive administration, including effective diary management and coordinating travel arrangements.
B. Good prioritisation and organisation skills, with the ability to be flexible and manage multiple priorities.
C. Strong communication skills in English, including effective written and oral skills. Proficiency in French is desirable but not essential.
D. Ability to develop and support productive working relationships with stakeholders, with excellent interpersonal skills.
E. Proficiency with Microsoft Outlook, Word and Excel. High level of IT literacy with the ability to manage an electronic documents and records management system, ensuring ongoing compliance with policy guidelines.
