Sales Support and Administration Specialist

Your mission

As part of a young, dynamic and decentralized team, your support to the sales management and coordination is crucial to the success of the entire team. Thanks to your natural sense of prioritizing tasks and your strong will to take on responsibilities, you allow the sales team and management to focus on their main tasks to achieve the organization's ambitious growth plan. You have the ability to quickly adapt to changes while constantly seeking process improvement and simplification.

Your key responsibilities

Sales process and execution

execute and document the sales process: prepare offers, follow up with customers, and maintain the CRM database
respond to B2B and B2C customers’ needs related to the product and solution (by phone or email) and follow up with the sales managers
coordinate and support business partners’ activities: provide them with the right information and materials, and follow up on order execution, customer satisfaction, and shipment of material
digitalize sales processes in the ERP (CRM, offers, stock, logistics, procurement) prepare the internal and external sales reporting

Administration

create commercial invoices, follow up with payments and manage creditors
manage product stock, orders, and shipments
collaborate with the accounting on the accounting operations, invoice management, quarterly reporting, and closing
schedule management and collaboration with technical manager

After-sales service

help-desk: customer and user experience support, including remote troubleshooting (by phone or email)
manage the process from the receipt of the ticket until the problem is solved, and ensure that the solution is registered in the system
digitalized customer service: set up media tools (i.e. record user experience, troubleshooting videos, digital manuals) to ensure and constantly improve our excellent customer satisfaction

What you bring to our company

3 to 5 of experience in a similar position in a fast-growing international B2B and B2C products and services company
Proven track record in sales administration and operations, with direct customer contact
Demonstrated understanding and experience with the ERP and CRM systems
Ability to speak and write in French, German and English fluently
A versatile and organized person, ready to fully invest in this role and contribute to our success
Your strong interpersonal skills and work ethic let you communicate effectively across all levels, find quick solutions, and meet deadlines
You are comfortable working in a fast-paced growing start-up, taking the initiative to make a difference
