H55 is financed by a reputable group of investors from Silicon Valley and Switzerland, and as such, is well positioned for its next stage of its development. The company’s short-term priorities include building up out of engineering team, putting into place production facilities, and creating a north American subsidiary.

Your role

The Executive Assistant will provide comprehensive administrative support to three top-level executives, managing a wide range of responsibilities from workplace management to governance support.  The role offers a high level of variably in both the task you will do as well as  working hours, at times requiring out of core hours working.  The ideal candidate will be an exceptional communicator with a keen ability to manage multiple priorities seamlessly.

Key Responsibilities

  • Administrative Support: Oversee the daily agendas and calendars for senior executives, optimizing their time management. Manage incoming communications, including calls and emails, ensuring priorities are addressed efficiently.
  • Travel Management: Coordinate all aspects of travel for executives, including booking flights and accommodations, and preparing detailed itineraries. Promptly reconcile travel expenses and manage reporting.
  • Presentation Preparation: Support the creation and refinement of presentations and documents for both internal and external use. Aid executives in the management and implementation of key projects and strategic initiatives.
  • Governance Support: Facilitate the logistics of Senior Leadership and Board meetings, from scheduling and preparing materials to recording minutes. Uphold standards and practices necessary for corporate governance.
  • Office Management: Manage the full cycle of company events, from initial planning to final execution, including selecting venues, coordinating logistics, and overseeing catering to ensure successful and engaging events.
  • Coordinate training and development programs:, securing all necessary resources and handling logistics to support effective training sessions. Oversee travel and meeting arrangements for both internal staff and external visitors to ensure seamless operations.

Your Profile

  • Proven experience as an Executive Assistant or similar administrative role.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and remote communication tools.
  • Ability to handle confidential information with discretion.
  • Excellent written and verbal communication skills.
  • Proficient in English and French
  • Capacity to work independently and as part of a team in a high-pressure environment.
