Job Description

Responsible for the delivery of general and complex legal, operational and administrative support to APL Legal & Compliance under the supervision of the APL Head Legal & Compliance.

Paralegal duties: Liaise with Head of Legal & Compliance to determine ongoing legal & Compliance needs:
• Liaise with outside organizations in multiple jurisdictions, including without limitation:
(a) outside local counsel;
(b) local consultants;
(c) government agencies, (d) translation firms and (e) notaries and registries on both substantive legal matters and administrative items such as requesting services, monitoring the timely receipt of the service requested, and settling fees and costs under supervision and guidance of Head of Legal & Compli-ance; • Receive basic enquiries or requests for documents from other departments and ensure the answer or the document is properly delivered in a timely and efficient manner under the supervision and guidance of the Head of Legal & Compliance; • Assist in communication with other departments and/or outside organisations • Prepare and dispatch department correspondence • Prepare, submit and track expense reports • Organize and maintain the Department's filing and tracking systems. • Take on projects in consultation with the Head of Legal & Compliance; Contract & Legal Document Management: o Coordinates signature process of contracts and other legal documents; o Coordinates Contract Management, process of Upside; o Ensure that upside status is updated, follow up of the fully executed agreements; o Ensure that all required approvals are provided as stated in the Standard Operating Proce-dure; o Coordinates legalization and translation of documents; o Coordinates requests for official certificates and other legal documents; o Maintains Master Data of contracts; o Leads PoA process; o Maintains physical archive of original contracts at APL and electronic archive of other legal documents; o Responsible for creating, updating and maintaining the APL Legal/Document Management intranet site; o Supports the APL Legal Senior Counsel in the optimization of current processes; o Consults with and supports the APL Legal Counsel in accomplishing key projects; o contribute to legal data privacy assessment for legal projects; o Trains stakeholders on tools and processes. Organizes legal trainings to stakeholders; Contribute to Internal and external audit: o Perform internal controls o Tracking, analysis and administration of contract terms o Tracking and monitoring legal expenses

Minimum requirements

Commercial training (e.g. Swiss Association of Commercial Employees, KV, business school) or equivalent (very good administrative skills) Fluency in English and French essential - Experience as paralegal - Proven ability to work independently efficiently and meet tight deadlines and withstand pressures and demanding clients - Demonstrated professional and culturally sensitive work ethic
