For our location in Bern, for the Global Regulatory Affairs (GRA) department we are looking for an

Executive Assistant, GRA (100%) (m/f/d)

Main Responsibilities and Accountabilities:

The GRA Executive Assistant provides personal administrative support and assistance to the Sr Vice President Global Regulatory Affairs (GRA). This encompasses executive level administrative support, arranging travel and correspondence, scheduling meetings, taking minutes, preparing presentations and reports, and receiving clients and visitors.

Provide general executive administrative support like:

  • Manage and maintain executive schedules, including scheduling travel and conferences.
  • Manage and prepare correspondence, communications, presentations, travel logistics, and other documents.
  • Maintain departmental org charts, distribution lists, and Outlook contact lists.
  • Coordinate, edit, and maintain GRA information (e.g. slide decks, GRA achievements and objectives) in various systems. Prepare consolidated reports.
  • Organize and co-ordinate meetings and events. Receive and interact with incoming visitors.

The GRA Executive Assistant provides support to the GRA Leadership Team (GRALT) as required:

  • Support planning, coordination and running of GRA leadership team meetings, workshops and other meetings.
  • Prepare and coordinate agendas, take minutes, track follow-up actions from meetings, and maintain action logs. Organize meeting relevant material and ensure technical setup. Responsible for meeting related documentation in respective systems.
  • Coordinate GRA Town Halls by compiling the agenda, harmonizing presentation and supporting the host of the meeting.
  • Responsible for the documentation of all meeting related documents on SharePoint or other appropriate systems.

Deputize for Bern Team Assistant.

Qualifications & Experience:

  • Business administration degree, Commercial degree or equivalent.
  • Minimum of 7 years of experience as an Executive Assistant in an international environment reporting directly to senior management, supporting a global function.
  • Flexibility, ability to work under pressure, work outside office hours.
  • Excellent command of English (native speaker preferred), spoken and written, good command of German spoken and written.
  • Attention to detail, timely delivery and good sense of urgency/business relevance.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
  • Excellent interpersonal skills, friendly and professional demeanor.
  • Outstanding work management including planning, prioritizing and organizing tasks to effectively meet deadlines and achieve specific results.
