AI Usage Guide for JobCloud Platforms

An informational guide on artificial intelligence in our job search services

This guide provides transparency about how JobCloud uses AI technology across our platforms (jobup.ch, jobs.ch and jobscout24). This document supplements our Data Privacy Notice and Terms of Use for Job Seekers. We encourage you to read this carefully to understand how AI enhances your job-seeking journey.

Understanding AI Technology

What is Artificial Intelligence?

AI systems act on learned patterns from data rather than by being fully programmed by humans.

In the context of job searching, this includes understanding job descriptions, analysing resumes, matching candidates with opportunities, and generating personalized content to support your career goals.

How does AI function?

AI systems use algorithms and machine learning models trained on large datasets to recognise patterns and make predictions. These models learn from data rather than following explicit programming for every scenario. The AI analyses inputs (like profile information or job descriptions) and generates outputs (like job recommendations or cover letter text) based on patterns it has identified during training.

AI Integration in JobCloud Services

The AI tools and technologies that we develop, integrate or use shall be and remain robust, fair and designed to avoid bias and discrimination. Therefore, we regularly review our AI tools, technologies and integrations to identify any detected bias or discriminatory tendencies.

No AI systems prohibited within the meaning of the European AI Regulation are used.

The output from AI systems is not used for automated decision-making in individual cases, including profiling within the meaning of Art. 21 CH FADP and Art. 22 EU GDPR for job seekers.

We have regulated the use of AI within the framework of internal AI Governance, weighing up opportunities and risks in advance and ensuring appropriate human supervision.

In line with the EU AI Act, we are committed to raise awareness among our employees about the responsibilities of the use of AI. This includes ensuring that our staff receive appropriate training with regard to AI.

What guides our AI usage?

  1. Data privacy: Swiss & EU Data Protection Laws apply to AI tools that process personal data.
  2. Intellectual property: We use AI in such a way that we do not infringe copyrights.
  3. Ethical Framework: Our principles for ethical use of AI tools: Fairness and non-discrimination, continuous monitoring and evaluation, Transparency.
  4. Trade secrets: We do not use AI tooling or technology with data that are considered trade secrets or confidential information of JobCloud or its business partners.
  5. Correctness of AI output: We inform the users that results from AI models might be factually incorrect, leading to deception and misinformation, even though they might appear reasonable.
  6. Transparency to users: When we use AI to create content in services and/or features for seekers and customers, we clearly label it so they know it was created by AI.

How do we select third-party AI providers?

We carefully evaluate third-party AI providers to ensure they meet our standards for data protection, security, and ethical AI use. We establish appropriate data processing agreements with all providers. Our primary AI partner, Microsoft Azure OpenAI, was selected for its enhanced data protection capabilities and European data hosting.

We follow a structured evaluation process to select third-party AI providers. All providers must comply with our internal AI rules and the EU AI Act. We establish appropriate data processing agreements with each provider.

Where do we use AI on our platforms?

We inform seekers and customers on these services and features by labelling AI-generated text, visual content, videos and audio as well as AI-generated content, that qualifies as deepfake.

If we use interactive AI Systems, we inform seekers and customers about the interaction with an AI tool unless it is obvious from the context (e.g. chatbots, virtual assistants, agents).

JobCloud integrates AI technology into several services and key features:

Job Recommendation

The Job Recommendation feature helps candidates discover job opportunities that are likely to be relevant based on their activity on the platform.

The Job Recommendation feature analyses interactions such as jobs viewed, clicked on, or applied to, and uses these signals to suggest similar or relevant job listings.

These recommendations are based solely on user interactions with the platform. No sensitive personal information such as age, gender, or nationality is used.

Personalised recommendations can be disabled at any time in the account settings.

Because recommendations are based on past behaviour, they may be less accurate for users with limited activity or those exploring new career paths. The feature is intended as a discovery tool and should be used alongside active job search.

Enhanced Search

The Enhanced Search feature supports candidates to find relevant job listings by allowing them to express their search in natural language rather than relying only on specific keywords.

When a candidate enters a search, the Enhanced Search feature analyses the query and identifies listings that are not only exact matches, but also closely related in meaning. This allows candidates to discover relevant roles even if different wording is used in job descriptions.

The Enhanced Search feature processes the search terms and filters provided by the candidate in real time to generate and rank results. It does not use profile information or personal data to personalise search results.

The Enhanced Search feature may not always capture all possible matches, especially if job descriptions use unusual wording. Search results should be seen as a starting point for exploration.

Job Ad Summaries

The Job Ad Summaries feature provides a short, AI-generated overview of each job listing to help candidates quickly understand the key aspects of a role.

The summary is generated from the content of the job advertisement and highlights the main points in a concise format. It is the same for all users and is clearly presented alongside the original job ad.

No user data is used to generate summaries. The feature relies only on the text of the job listing.

Summaries are intended to make browsing more efficient, but they may not include every detail or may occasionally be imprecise. Users should always refer to the full job description before applying.

Job Translations

The Job Translations feature allows candidates to view job listings in their preferred language, even if the original job ad was written in a different language.

When a language difference is detected, the Job Translations feature automatically translates the job ad to the language chosen by the candidate in the settings for language of correspondence. The original version of the job ad remains accessible at all times.

The only user-related information used is the selected interface language. No other personal or behavioural data is involved.

Translations are intended to help candidates understand job opportunities more easily, but they may not always be perfectly accurate, especially for specialised or nuanced language. For important decisions, users should refer to the original job ad.

Cover Letter Generation

The Cover Letter Generator is a feature available to all registered users who apply through the internal "Easy Apply" application form.

This feature provides candidates with assistance when manually writing a cover letter in the dedicated field of the application form.

When creating your cover letter, candidates can use the Cover Letter Generator. For this purpose, the candidate's profile information and the details of the job advertisement are used, and a text is generated using generative artificial intelligence. The content of the resume will not be analysed.

The Cover Letter Generator uses key elements from both the job posting and the candidate's profile to create a tailored cover letter for the ongoing application. From the job posting, relevant information may include elements such as the job title and company name. From the candidate profile, the Cover Letter Generator leverages information such as the candidate's first and last name and the titles of their past professional experiences.

The generation of the cover letter is triggered only upon request by the candidate. Before generating the content, the candidate can choose the language of the cover letter. The generated text is limited to a maximum length of 2,500 characters.

Once generated, the candidate can edit and modify the suggested text directly in the application form before submitting the application.

The Cover Letter Generator is an optional feature. Candidates remain free to:
• write their own cover letter manually, or
• in some cases, upload an existing cover letter instead.

Candidates may generate the cover letter multiple times if they wish to obtain different suggestions.

However, the Cover Letter Generation feature is not available in all application forms, as some job postings do not require a cover letter.

Culture Fit

The Culture Fit feature helps candidates to understand how well their personal work preferences align with the culture of a company. It is currently only available on the Native App, available for download in the App Store for both Apple and Android.

To use the Culture Fit feature, candidates first answer a short survey about their preferred work environment and values. Once the survey is completed, the platform can calculate a Culture Fit Score when the candidate views certain companies or job opportunities. The Culture Fit feature also provides short insights about how the company's culture compares with the candidate's preferences. The goal is to help candidates better evaluate whether a company could be a good cultural fit for them.

The Culture Fit feature is only used when the candidate chooses to complete the culture survey and requests a culture fit calculation. Once calculated for a company, the result may be reused to avoid repeated calculations.

Because company culture can be complex and subjective, the Culture Fit Score should be interpreted as general guidance rather than a precise measurement. The results are intended to provide additional context to help candidates explore potential employers.

JobFit

The JobFit feature helps candidates understand how closely their experience matches the requirements of a specific job advertisement.

The JobFit feature analyses the content of the candidate's CV and the text of the job advertisement to estimate how well they correspond. Based on this analysis, the JobFit feature provides a match score along with a short explanation of the result. The explanation highlights areas where the candidate's experience appears to match the requirements well, partially match, or where no relevant information could be identified in the candidate's CV.

To perform this analysis, the JobFit feature uses the text contained in the job advertisement and the candidate's CV. If a candidate uploads a CV to use the JobFit feature and no CV is already stored in their profile, that CV will be saved to the candidate's profile. If a CV already exists in the candidate's profile, it will be used automatically, and the candidate can choose to replace it to run the evaluation again.

The score and explanations generated by the JobFit feature are for the candidate's information only and are not visible to recruiters.

The JobFit feature is an optional feature. Users can enable or disable it at any time in their account settings. If a candidate disables the JobFit feature, previously generated scores may remain stored, but new analyses will no longer be shown. Users can re-enable the feature at any time.

CV Extraction

The CV Extraction feature helps candidates quickly create or complete their profile by automatically extracting information from their CV.

When a candidate uploads their CV and chooses to use it to prefill their profile, key information such as personal details, professional experience, education, skills, and languages is extracted. This information is then structured and used to populate relevant fields in the candidate's profile, reducing the need for manual data entry.

The extracted data is presented to the candidate so they can review and edit it before saving it to their profile.

The CV Extraction feature is only activated when the candidate chooses to upload the candidate's CV and request that the candidate's profile be pre-filled. Users remain fully in control of their information and can modify, correct, or remove any extracted data before confirming it.

The quality of the extracted information depends on the clarity and structure of the candidate's CV. In some cases, information may be incomplete or not detected if it is formatted in an unusual way.
