About the role

We are looking for an HR Leadership Team Assistant to support 4 members of the HR Leadership team by providing valuable administrative support (extent of support may vary among the various managers). Additionally, this role acts as a back-up to the Executive Assistant to the Chief People & Diversity Officer (CPDO) and is part of the broader Zurich Assistant Network, whose aim is to exchange best practices, deepen the knowledge of business topics, develop skills and provide mutual support to enable our senior leaders reach their business objectives. The role is based in the Zurich office and home office is possible according to our Flex Work Policy. It may also require occasional travel

Key Responsibilities include

Agenda management of the VP’s: provide availability, coordinate meeting scheduling within defined criteria and based on individual needs

Travel arrangements (booking flight, hotel, transportation, request visas, etc.)

Manage invoices (set up vendors & code invoices) and expenses (submit expense reports for VP’s, approve direct report expenses)

Building efficient and professional working relationships with employees, customers, suppliers, acting as a filter and focal point to internal and /or external contacts.

Being point of contact person for the department

Support in event organization (team events, activities & dinners), presents (thank you’s, birthday, Christmas, anniversaries, etc.)

Preparing newcomers; arrivals (onboarding agenda, material, visit cards)

Work closely with and act as a backup to the Executive Assistant to the CPDO

Active participation in the Zurich Assistant Network meetings

About you

Appropriate vocational or University training (either in business/ economics, as a management/ executive assistant, or related field)

Ideally 5-7 years of experience as a Management Assistant or similar role in an international environment

Experience in supporting multiple stakeholders of similar level of priority

Strong stakeholder management - experience in interacting with people of various levels in the organization, understanding the impact of the role towards the rest of the organization

Ability to handle confidential information with discretion and composure

Highest degree of reliability and trustworthiness

Familiarity with HR related topics and experience in multinational companies is a strong plus

Proficient in English, other languages are an advantage

Strong Computer literacy with experience of Google Suite, Success Factors, SAP, Concur, and RemedyForce preferred

Ability to organize, multi-task, and work under pressure

Passionate, quick thinker, creative and an effective problem solver

Ability to prioritize and switch between tasks to meet deadlines

Independent, efficient and service-oriented way of working
