The Assistant, Grant Management Directorate Support team (also known as GMD Front Office), contributes to the delivery of the primary business of the Global Fund: grant management through provision of executive high level administrative support to the Grant Management Division directorate team. The range of the work requires the incumbent to be knowledgeable about the Global Fund Secretariat, its goals, priorities and activities, in order to anticipate needs and provide a reliable and efficient support service.

Key Responsibilities

Working under the direction of the Front Office Team Leader, as well as Assigned Department Heads, in a highly collaborative and interactive Front Office team, the Assistant’s responsibilities include (but are not limited to):

  • Multiple calendar management
  • Travel, event and retreat management
  • Preparation of reports and financial data
  • Handling of confidential information with utmost discretion
  • Training and advising other support staff
  • Drafting and editing presentations where applicable
  • Timely and accurate information exchange with both internal and external stakeholders
  • Maintaining an organised and structured information storage and retrieval system.

The Assistant will contribute to various projects and tasks requested from the GMD Front Office.

Subject to change by the Executive Director at any time at their sole discretion.

Qualifications

Essential:

Completion of secondary school or technical or commercial school or equivalent

Experience

Essential:

  • Relevant work experience in administration, preferably working with senior management level in the international development or health sector, or related field of work.
  • A high level of planning and organization skills.
  • Reliable, innovative, and service-oriented team member with strong interpersonal skills.
  • Excellent written and oral communication skills both with internal and external audiences.
  • Strong writing, editing and proof-reading skills.

Desirable:

  • 2-4 years’ experience in a similar environment

Competencies

Languages:

An excellent knowledge of English and preferably a good working knowledge of French. Knowledge of other languages would be an asset (to be amended as per job requirements).

Other Competencies:

  • Organization & Planning: Ability to plan, organize and coordinate services; Ability to handle multiple tasks and recognize priorities, working within tight deadlines
  • Project coordination experience, and ability to work well at all hierarchical levels
  • Sensitivity to confidential matters
  • Computer skills: Proficiency with Microsoft Office tools.
