The University of Lausanne is a research and higher education institution composed of seven faculties, here approximately 15,000 students and nearly 5,000 professors, researchers and staff work and study. Ideally situated along the lake of Geneva, near Lausanne city center, its campus brings together over 120 nationalities.



We are looking for an Administrative Assistant (20%) to provide an efficient and proactive support to the Professors responsible for the Master program in Behavior Evolution and Conservation (BEC) in the Faculty of Biology and Medicine at the University of Lausanne. This master is one three biology master programs at UNIL; it is conducted in English and is followed by 20-30 students per year.

Expected start date in position : 01/01/2020 or to be agreed

Contract length : 1 year with a possibility of renewal

Activity rate : 20%

Workplace : Lausanne, Dorigny Campus

Your responsibilities


The tasks and responsibilities include:


  • Maintenance of the agendas of tasks for the Directors of the master program ;
  • Maintenance and updating of the lists of students, teachers, master supervisors, experts etc. ;
  • Taking minutes of meetings ;
  • Transmission of relevant and appropriate information and announcements to students, teachers, project supervisors and experts ;
  • Logistic help with organization of the annual retreat and extramural courses ;
  • Scheduling project defenses and presentations ;
  • Maintenance of an online site (moodle) for submission of reports and evaluations, compilation of evaluations and transmission of feedback to students ;
  • Support for implementation of administrative aspects of the initiatives resulting from the development plan of the master, such as creation of a "Survival guide to the master" or support for integration of foreign students.


The administrative assistant would respond to the Director and co-Director of the master program, and would collaborate with the administrative personnel of the School of Biology.


A strict respect of confidentiality and ability to evaluate sensitivity of various information are a must.

Your qualifications


The candidate should be proficient in written and oral English and have good knowledge of French witten and spoken. The successful applicant must also have excellent interpersonal and communication skills, be confortable with using / learning to use academic software tools (office, email, agenda apps, moodle, doodle, sylviaacad, etc.). She or he should aslo be able to work autonomously, be able to set priorities and be proactive.

A master degree in natural or technical sciences is a plus; however, candidates without master but with more than two years of a proven successful experience in administrative coordination of a program or project and proactive administrative support will be considered. A previous experience in an academic environment is a big plus.
