With nearly 1,400 employees, the Department of Rehabilitation and Geriatrics is a medical center focused on the elderly and is composed of 6 services spread over 5 sites: Trois-Chêne, Loëx, Bellerive, Beau-Séjour, and Joli-Mont. It handles acute situations, notably through the emergency services of the Trois-Chêne hospital, age-related specific problems, medical rehabilitation, and palliative care.
Located in the heart of a park on the Belle-Idée estate, the Trois-Chêne Hospital welcomes people whose health condition requires hospitalization for geriatric care or rehabilitation treatments. The hospital has a state-of-the-art radiology unit, intermediate care, and an emergency service that can accommodate patients aged 75 and over, excluding life-threatening emergencies.
Job Description
You manage and supervise the activities of the department's medical secretariats. You implement processes to ensure the quality of secretariat and reception activities, harmonize professional practices, and maintain coherence between the different services at the administrative level. You ensure that resources are adequate relative to the workload.
You provide operational supervision of the secretariat staff. Your communication skills allow you to lead and motivate a team of secretaries. Thanks to your ability to collaborate with multidisciplinary teams, you plan and coordinate the execution of administrative, medical, and secretarial tasks. In particular, you manage the creation, updating, and filing of the patient medical record. Additionally, you ensure the status of material stocks and administrative forms related to the secretariat.
To manage administrative activity, you establish relevant indicators and monitor them. You ensure the control of administrative data and clinical documentation while ensuring compliance with institutional requirements. This allows you to develop and update reference documents, procedures, and working methods that you communicate to your teams.
Transversally, you participate in projects of your department or the institution as well as in the training of new employees, interns, and apprentices. If necessary, you are also able to provide support to your team.
Qualifications
You hold a diploma as a medical secretary or medical assistant and a commercial maturity certificate or a commercial employee CFC, and ideally have completed management training (CAS or equivalent title).
You have at least 5 years of experience in a secretarial role, preferably in the medical field, and also have experience in team management.
You have very good knowledge of computer tools (ECDL advanced level for Word, standard for Excel and PowerPoint). Knowledge of software such as DPI, DPA, Opale, Winscribe, and GRECO is an asset.
You have excellent command of French, both written and spoken. Medical terminology is easily understandable to you.
You possess excellent organizational and priority management skills allowing you to handle emergency situations requiring good stress management. You have good analytical skills and a synthetic mind. You are assertive, flexible, and attentive. You are dynamic and demonstrate adaptability as well as the ability to propose ideas to bring coherence to the department's secretariats.
Finally, you demonstrate a strong sense of confidentiality.
