Job Description
Position Summary
Thermo Fisher Scientific seeks a skilled Executive Assistant to aid the President of the Drug Substance Division (DSD), part of the Pharma Services Group. This position will be based in Europe to offer strategic and administrative support at the executive level.
What you will do?
- Provide proactive, high-level calendar and schedule management, including prioritization and alignment with business objectives.
- Coordinate complex domestic and international travel plans, including accommodations, visas, and itineraries.
- Prepare and manage confidential communications, reports, and presentations for internal and external audiences.
- Serve as a reliable intermediary between the President and senior leaders, clients, partners, and internal collaborators.
- Track and follow up on key projects and ensure timely execution of action items.
- Prepare briefing materials, leadership updates, and executive summaries with high accuracy and business relevance.
- Partner with the DSD leadership team to coordinate planning cycles, operating reviews, and business unit communications.
- Process expense reports, reconcile executive credit cards, and support procurement or vendor-related transactions.
- Maintain executive files, records, and documentation in accordance with company policy and confidentiality standards.
- Continuously seek opportunities to improve administrative operations through tools, systems, and process upgrades.
Qualifications
- Experience: 10+ years’ executive assistant experience in a large, global organization preferred.
- Industry Knowledge: pharmaceutical industry experience preferred.
- Education: Bachelor’s degree or equivalent experience required; advanced administrative certifications or business coursework a plus.
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and collaboration platforms (Teams, SharePoint, Zoom).
- Outstanding verbal and written communication, with strong editing and proofreading abilities.
- Demonstrated ability to manage confidential information with discretion and integrity.
- Adept at balancing competing priorities and working independently under pressure.
- Strong interpersonal presence with executive maturity, emotional intelligence, and the ability to build trust quickly.
Preferred Qualifications
- Experience supporting a President or General Manager within a business unit.
- Familiarity with enterprise-wide tools such as Workday and Concur
- Ability to collaborate across multiple time zones and work with global teams.
