About the job
Documentary Information Specialist at 50% (Fixed-term contract until December 31, 2027)
- AUTJ147
- The primary mission of the judicial authorities is to apply the law and deliver civil, criminal, and administrative justice independently and impartially, with dignity, rigor, and diligence. They represent the third power (the judiciary) alongside the legislative power (Grand Council) and the executive power (Council of State).
The judicial authorities intend to equip themselves with a so-called records management system to efficiently and systematically organize all documents or data they need to carry out and also justify their activity, with multiple objectives including compliance with legal requirements, traceability, integrity, security, and the sustainability of information.
The General Secretariat, to which you are attached, plays a central role in the organization of the judicial authorities. Its mission is to provide support and expertise to governance bodies and assumes the administrative management of the judicial authorities.
As a documentary information specialist for the judicial authorities, you are responsible for organizing and managing an effective and systematic control of documents. You oversee every step, from creation to preservation of documents, as well as the methods of fixing and preserving related to their form.
Your mission is to assist the professions in identifying, classifying, storing, and preserving documents with legal value, as well as preparing their transfer and disposal. In this context, you ensure the implementation and coordination of institutional archiving within the judicial authorities. You are also responsible for developing and deploying the institutional archiving policy, as well as drafting all useful documentation on this subject. As a privileged contact person, you provide information both internally and externally on all questions related to filing and archiving rules.
As part of the federal Justitia 4.0 project (Digitalization of Swiss Justice), you participate in discussions on the introduction of electronic document management and the transition to the digital case file, ensuring that the archiving policy ultimately encompasses these specificities.
Holder of a HES bachelor’s degree as a documentary information specialist, a HES master’s degree in information sciences, or an equivalent qualification, you have at least 2 years of experience in institutional archiving and records management, preferably in a related or useful field for the position.
Knowledge of the ArchiClass software is an asset, as is a good understanding of the judicial field and applicable archiving rules. This position requires a good command of the French language, especially in writing.
Recognized for your loyalty and discretion, you are strongly attached to public service values. Equipped with analytical and synthesis skills, you have a sense of responsibility and know how to work independently, respecting given directives.
Autonomous and organized in your work, you are proactive and know how to take initiatives within the scope of assigned competencies.
You are also able to quickly adapt to new environments and integrate into a team.
This position finally requires holding a clean criminal record and debt collection record.
