The position is attached to the Care Directorate. The Care Directorate embodies the authority in matters of care. Its mission is to guarantee the quality and safety of care within the institution. As such, the Care Directorate oversees all care activities (nurses and various health professional groups). To fulfill its mission, it relies on three areas of expertise: quality, sustainability and digital innovation; clinical expertise and professional practices; management and transformation.
Job Description
As part of the creation of the new Operating Room Directorate, you provide essential administrative support to the Head of Care. You ensure the smooth running of the secretariat by managing the agenda, messaging, and priorities autonomously, while preparing strategic files and necessary materials for decision-making.
You coordinate a wide network of internal and external contacts, organize high-level meetings, and write reliable and confidential minutes. You also handle the administrative follow-up of employees from their arrival to their departure, ensuring a professional and attentive welcome.
As the privileged interface of the management, you relay information clearly, participate in certain meetings, and contribute to maintaining smooth communication within the organization. You organize business trips, support the organization of internal events, and ensure budget compliance.
You participate in the monitoring of cross-functional projects, coordinate the involved actors, and handle administrative and financial processing, including expense reports and invoice validation. Finally, you guarantee the confidentiality of sensitive information and know how to react calmly and efficiently to unforeseen events, while continuously developing your skills to support this new, rapidly evolving directorate.
Qualifications
You hold a diploma or a commercial employee CFC or a higher administrative training such as a Federal Certificate of Assistant or equivalent title.
You have 3 to 5 years of experience in a similar position or in an executive secretariat.
You have excellent written and spoken French language skills as well as very good computer knowledge.
You have excellent mastery of Microsoft 365 tools and communication tools.
You have strong writing skills and ease in interpersonal contacts.
You have a high sense of relational skills.
You are proactive and a source of proposals.
While having a good sense of organization and priorities, you are autonomous, rigorous, and precise in the tasks assigned to you and have a keen sense of confidentiality.
Additional Information
The workplace is within the operating rooms, which requires ensuring the sterility of the environment, for example changing to wear the operating room attire every day and each time you enter and exit the operating rooms, and not wearing too much jewelry or fake nails. A cafeteria is available with bread, cheese, and yogurts, but no hot meals are offered inside the operating room; it also has several microwaves.
