Job Summary
The rotating receptionist is in constant contact with guests and staff and always reflects the image of the hotel. They respond to all internal and external requests of the establishment. They must meet the needs of guests and be aware of the information disseminated at the hotel. The rotating receptionist must constantly show a professional and positive attitude towards guests and colleagues.
They must have a perfect knowledge of the establishment with its different services offered and know how to explain them. The rotating receptionist must also have great availability and flexibility in terms of working hours. Mastery of computer tools such as Opera (PMS) and the Office package is required as well as proficiency in English and French. A third language is preferred. They will cover night shifts during the night audit’s rest/vacation periods.
Main Responsibilities
Role:
- Respond to all guest requests accurately and quickly. Interaction with the guest will be in person and by phone/email/chat.
- Coordinate arrivals, departures, and billing requirements. Block rooms for arrivals and ensure any discrepancies are resolved.
- Responsible for the daily reception checklist
- Resolve guest complaints from all hotel areas, manage all guest interactions with the highest level of hospitality and professionalism, respond to special requests as far as possible;
- Assist guests with all requests regarding hotel services, opening hours, key hotel staff, internal events, directions, etc.
- Ensure all financial and credit procedures are followed. During an office shift, follow up on credit issues.
- Review all payments, discounts, petty cash reimbursements, and direct billings.
- Check guest arrivals and departures efficiently and friendly, using the guest’s name whenever possible.
- Ensure the guest is assigned the requested room type and the correct rate is charged.
- Organize luggage delivery to the room. Deliver the correct keys to the guest. Guest check-out at the end of the stay.
- Verify guest satisfaction, collect keys
- Settle the bill accurately by credit card or cash transaction.
- Use a variety of computer systems to register guest arrivals and departures, execute daily reports, select and block rooms for arriving guests.
- Work harmoniously and professionally with colleagues and managers.
- The position requires flexibility on this rotating post which can vary between 3 nights and 2 days per week.
