Executive Secretary at the Adult Intensive Care Medicine Department
The Adult Intensive Care Medicine Department (SMIA) is looking for an executive secretary between 80% and 100% on a permanent contract, starting immediately or as agreed.
Context
The Lausanne University Hospital (CHUV) is one of the 5 Swiss university hospitals. Thanks to its collaboration with the Faculty of Biology and Medicine of the University of Lausanne and EPFL, CHUV plays a leading role in medical care, medical research, and education.
The Adult Intensive Care Medicine Department (SMIA) provides clinical care for all adult medical and surgical patients at CHUV requiring intensive care services. It fulfills both a university hospital role (highly specialized medicine, complex care), with priority missions of a supra-cantonal nature such as major burn victims and heart or lung transplant patients, and a proximity role for patients from the Lausanne region.
Mission
- You participate in managing the administrative activities of the executive secretariat, including user reception and secretariat messaging
- You participate in tasks related to doctors' rotations and the administrative follow-up of medical trainees in collaboration with the University of Lausanne
- You monitor the department's funds and billing
- You process and follow up contracts and ensure their transmission to the legal department
- You prepare requests to various organizations
- You ensure the organization of scientific events, logistical support for these events, as well as post-event administrative activities
- You manage the administrative activities of the department management and senior doctors
- You organize management meetings, handle invitations, room bookings, and minute-taking
- You work closely with other executive secretaries.
Profile
- You hold a commercial employee CFC or an equivalent qualification
- You have excellent knowledge of Windows MS Office
- You demonstrate ease in verbal and written expression
- You have excellent communication skills and enjoy working autonomously
- You have at least 5 years of professional experience in a similar position and 2 years in the medical and/or hospital field
- You have professional experience in event management, which is an asset
- You practice and understand English and/or German, which is an asset
- You possess an innate sense of rigor as well as knowledge of internal guidelines.
