Head of Secretaries of the General Psychiatry Service
The Department of Psychiatry is advertising a position for the General Psychiatry Service (PGE) for a head of secretaries for the Chauderon and Recordon consultations, with an activity rate between 80% and 100%. The workplace is located in Lausanne.
Context
The Lausanne University Hospital (CHUV) is one of the 5 Swiss university hospitals. Thanks to its collaboration with the Faculty of Biology and Medicine of the University of Lausanne and EPFL, the CHUV plays a leading role in medical care, medical research, and education.
The General Psychiatry Service provides psychiatric care for the adult population (18 to 65 years) of the Lausanne metropolitan area.
The service has about one hundred acute care beds on the Cery site and outpatient consultations in the city to best meet the needs of users and care network partners.
The General Psychiatry Service integrates a psychiatric and psychotherapeutic approach for all patients under its care, both in hospital and outpatient settings. Various professions coordinate to provide this care: doctors, psychologists, nurses, social workers, physiotherapists, activity leaders, care assistants, or chaplains.
Mission
- You manage the activities of the medical secretariats and desks (2 sites):
- plan and coordinate the various team activities
- control and optimize professional practices, develop unit procedures and ensure their follow-up
- participate in the integration of new collaborators
- Organize and lead periodic meetings.
- You lead the secretaries under your responsibility:
- establish the schedule and organize replacements in case of absence
- organize and supervise the reception and training of new collaborators
- conduct hiring interviews in collaboration with the Head of Secretaries of the DP
- establish and update job descriptions and conduct performance reviews in collaboration with the Head of Secretaries of the DP.
- You provide administrative support to the units:
- handle routine tasks of absent secretaries
- ensure reception, guide users and notify stakeholders of patient arrival
- inform patients about the progress of their care
- handle administrative management tasks of patients, enter services.
- You ensure logistics and the application of procedures and directives:
- participate in PGE and extended PGE management meetings
- maintain liaison with management and DP logistics
- manage orders for equipment and furniture
- manage requests for physical and IT access.
Profile
- You hold a Federal VET Diploma as a commercial employee, or equivalent training, ideally complemented by a medical secretary diploma
- You hold a diploma or certificate in "team leadership"
- You have at least 3 years of experience in a similar position with team management
- You have perfect command of French, both spoken and written; knowledge of a foreign language is an asset
- You have advanced skills in office IT tools; knowledge of institutional tools is an asset
- You are able to integrate into a multidisciplinary team
- You know how to adapt your communication to the context and demonstrate a spirit of mutual aid and collaboration
- You are highly flexible and have a sense of organization and priorities
- You demonstrate strong analytical and synthesis skills
- You are already familiar with the structures and functioning of the services of the State of Vaud and parapublic bodies related to the service and psychiatry activity.
