Talent & Culture (HR) Administration Coordinator

More than an administrative position, the role of Talent & Culture Coordinator is a true human mission within a legendary hotel. You are at the crossroads of internal relations, employee experience, and hotel life: a precious link between the teams and the life of the hotel.
As an ambassador of our values, you will contribute every day to shining our corporate culture through smooth communication, unifying events, and attentive administrative support. Whether organizing internal celebrations, welcoming new talents, or ensuring the proper management of our staff residence, you will play a key role in the quality of work life and the engagement of our teams.

Summary of Responsibilities :
Reporting to the Talent & Culture Generalist, the essential responsibilities and functions of the position include, but are not limited to:
Internal Communication
- Be responsible for FLMP internal communication (Memos, multilingual television, and ensure the updating of bulletin boards)
- Prepare memos (activity, office closure, etc.)
- Send correspondence to employees according to life events (wedding, birth, death)
Internal Events / Recognition
- Be responsible for organizing and setting up employee quizzes once a month
- Prepare and organize celebrations (national holidays, opening of new hotel, etc.)
- Assist in preparing internal events (staff party and barbecue) and participate in these same events
- Create the birthday list, send birthday cards weekly, send birthday reminders to the Talent & Culture team
- Be responsible for taking photos of all internal events and client events in the hotel but always employee-oriented
- Organize the Dare All Trades Day
- Organize the General Assembly twice a year
Administration
- Coordinate and distribute administrative requests from employees
- Be responsible for digitizing employee files
- Be responsible for updating the list of missing documents and perform rigorous follow-up as well as necessary reminders to employees
- Assist in welcoming new employees
- Be responsible for salary advance requests
- Manage F&B discounts granted to employees
- Ensure office closure
- Answer the intercom and welcome employees at the Talent & Culture office
- Manage internal mail and send external mail
- Manage the sale of meal tickets to internal and external company partners
- Supply the Talent & Culture department with stationery
- Be responsible for observation interns (organization, planning, photos, evaluation, file, documents, welcome and departure)
- Follow up on intern development, meet interns after their evaluations (1 month and 3 months, follow up on the final internship evaluation with the school) as well as LinkedIn publication upon their departure
- Prepare documents for integration days
- Prepare, in collaboration with the Generalist, documents for internal visits and ensure the setup of lounges
- Prepare, in collaboration with the Recruiter, documents for visits to schools
- Be responsible for professional photo taking of employees and follow-up on missing photos
- Participate in recruitment days at hotel schools
- Retrieve employee files and documents from archives
- Send registered mail
- Perform locker checks once a week with the coordinator
- Respect department policies and procedures
- Respect ergonomic standards in terms of Health and Safety
- All other tasks as assigned
Staff Residence
- Perform entry and exit inventories of the staff residence, as well as distribute garbage bags to residents of the Tournesol
- Manage key entries and exits (Tournesol Residence and vacuum cleaner)
Qualifications
Qualifications :
- 6 months experience in human resources or administrative field or pursuing an HR administration certificate or HR assistant
- Fluency in spoken and written French and English
- Ability to use Microsoft Windows applications required
- Commercial employee CFC is a significant asset
- Previous experience in a hotel is an asset
- Previous experience in an administrative position is an asset
- Proven ability to manage multiple tasks in a very busy environment
- Be involved in maintaining customer service excellence by providing quality service to our internal clients
- Must have proven organizational skills
- Ability to demonstrate tact, diplomacy in a context of confidentiality, compassion, and a keen sense of confidentiality
- Interpersonal communication skills and attention to detail
- Particularly responsible and reliable
- Ability to work in a team

VISA REQUIREMENTS
In order to work in Switzerland, the candidate must possess a Swiss work permit or be from an EU country – 17 or EU -8.
