What needs to be done
- You sort the mail and ensure it is quickly and reliably forwarded to the correct employees. If there are mail items that need to leave the company, you make sure they are correctly stamped and sent.
- Another important area of your work is document management. You check letters, files, orders, and reports for accuracy.
- You and your team are the hub of the financial processes. Every invoice that comes into the company passes through your hands. You carefully check the details and accuracy of each invoice. Then you enter the invoice into the accounting software.
- It is not only important to record the invoices but also to ensure they are posted correctly. Therefore, you post all amounts accurately and keep the accounting always up to date. This ensures that the company always has a clear overview of its finances.
- It is also important to regularly check accounts. This means you ensure that all paid and received amounts are correct by reconciling them with booking documents and the used management software. This is another step to ensure the company’s financial accuracy.
- Finally, you are also responsible for receivables management. If customers do not pay their invoices, you send payment reminders. It is a responsible task to ensure the company receives the payments it deserves.
- Receiving customers is often the first personal experience someone has with a company. Here you represent the company and ensure the visitor gets a positive first impression. This includes greeting visitors warmly, offering them drinks, and directing them to the right contact person.
- Answering phone calls and handling emails are daily tasks that require quick comprehension and multitasking. When you take a call or respond to an email, you are the ear and voice of the company. It is important to communicate clearly and professionally, carefully record all inquiries, and ensure they are forwarded to the correct department or person.
