The Pôle Autisme Foundation is recruiting a medical secretary

About the job

About us

Founded in 2013, the Pôle Autisme Foundation provides solutions for people facing difficulties related to autism, attention disorders, and other developmental disorders. In its various centres, it employs nearly 60 health professionals (doctors, psychologists, speech therapists, etc).

Your role

As the first point of contact for many families, you will help create a warm, reassuring, and well-organised environment. You will work closely with the other secretary of the centre as well as with all the health professionals.

Your main tasks

  • Welcome children and their families, on site and by phone, with warmth, tact, and availability, taking into account the sometimes distressing situations they are going through;
  • Listen to requests, provide clear information, and direct each person to the appropriate contact;
  • Handle the administrative secretarial duties of the consultation centres and ensure the smooth running of their daily operations;
  • Manage billing of services and ensure accounting follow-up;
  • Communicate with health insurance and disability insurance;
  • Create, update, and archive medical records while respecting confidentiality;
  • Manage orders for administrative and evaluation materials;
  • Actively participate in the life of the centre and the Foundation’s projects, anticipate the team’s needs, and propose concrete solutions.

Profile sought

We are primarily looking for a person sensitive to the realities of childhood and disability and eager to commit to a meaningful mission. Previous experience is an asset but not essential: applications from people without experience are welcome. Support for starting the role is planned, in connection with the administrative team.

  • You have a sense of contact and know how to adopt a warm, respectful, and reassuring attitude towards children and families, including when they are going through a difficult period;
  • You demonstrate listening skills, tact, discretion, and discernment;
  • You show organisation and rigour and can manage several priorities calmly and reliably;
  • You enjoy working in pairs, sharing information, and building a close and smooth collaboration with the other secretary;
  • You take initiative, actively participate in the team’s life, and willingly propose concrete improvements to working methods;
  • You have excellent writing and communication skills in French and good knowledge of English, both written and spoken;
  • You are proficient with common Microsoft Office computer tools;
  • You reside in Switzerland or hold a work permit.

We offer

Secretarial or medical assistant training can be undertaken during employment, with possible funding.

  • A competitive salary aligned with ARAM recommendations, to be determined according to your experience and level of training;
  • Annual funding for continuing education;
  • A committed and dynamic multidisciplinary and multicultural team;
  • No night work, fixed hours from 8am to 5:30pm (42 hours/week for a full-time position);
  • 5 weeks of holiday to be taken during Geneva school holidays.
