For our commercial departmente are seeking a highly organized and proactive:
Administrative Assistant
ROLE
- Organize complex international travel itineraries and ensure schedules are optimized in line with colleagues’ agendas
- Prepare and reconcile travel and expense reports accurately and on time
- Coordinate on‑site customer and prospect visits, ensuring seamless logistics (agenda alignment, meeting rooms, hotel bookings, transportation, restaurant arrangements)
- Guarantee a smooth and professional visitor experience from arrival to departure
- Manage calendars autonomously, handling scheduling, prioritization, and conflict anticipation
- Organize internal and external meetings, conference calls, and workshops
- Prepare meeting agendas, collect materials, and support follow‑up actions
- Provide day‑to‑day administrative support to multiple teams
- Prepare documents, presentations, and reports using Microsoft Office tools
- Maintain accurate records and ensure proper document organization
PROFILE
- Flexible, adaptable, and able to manage multiple priorities efficiently
- Native French speaker, with a good level of English ( B2 minimum), any additional language is a plus
- Proactive, service‑oriented, and capable of anticipating needs with strong ownership
- Excellent organizational skills and strong attention to detail
- Strong communication skills and a professional demeanor
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
- Experience supporting multiple teams simultaneously is an advantage
- Knowledge of business etiquette and hospitality best practices is a plus
- Positive attitude, team spirit, and ability to remain calm under pressure
- High level of confidentiality, discretion, and reliability
- Problem‑solver with initiative and a hands‑on mindset
