Job Description
As an experienced administrative clerk, you assist and support the head of the nursing team of the pediatric outpatient consultation unit within the pediatric specialties service in all missions. You carry out specific occasional tasks upon request from management.
You independently handle the unit's administrative tasks and respond to various requests. Your responsibilities notably include managing employee data.
You manage room booking requests via the unit's mailbox, coordinating reservations according to the specific needs of consultants and the requirements of each specialty. You organize sessions (from room booking to drafting minutes).
You are proactive and organized, ensuring routine administrative tasks such as updating unit documents, entering schedules, planning, absences, and medical certificates into the Vision HR software.
You oversee the control and management of the unit's stationery and small office supplies stock.
By delegation, you make short-term replacement requests with temporary staffing management and produce statistics related to nursing activity.
You collaborate with doctors' secretariats and the administrative reception sector.
Within the team, you actively contribute to the smooth running of the unit by promoting information dissemination. You are committed to your professional development and do not hesitate to seek necessary resources to refine your skills. More broadly, you participate in any initiative aimed at improving the quality of the service's offerings.
Qualifications
You hold a Federal Certificate of Capacity as a commercial employee, an administrative assistant diploma, or an equivalent qualification.
You have at least 5 years of successful experience in an administrative role.
You are very comfortable with common IT tools and hold or are in the process of obtaining the basic ECDL certificate.
You have perfect mastery of spoken and written French as well as good writing skills.
Confidentiality is imperative in your work.
You demonstrate autonomy, commitment, anticipation, dynamism, analytical skills, initiative, a sense of responsibility, and decision-making ability.
You are organized and reliable, with a strong team spirit and excellent interpersonal skills.
Additional Information
Working hours are daytime hours. Presence is required five days a week.
