Job Summary:
We are seeking a highly organized and proactive Site Development Coordinator who will be responsible for supporting the planning, coordinating, and communicating customer visits, workshops and events, as well as ensuring operational excellence, and supporting site development and administration.
Supporting the Coordination and Communication of Customer Visits:
- Coordinate customer visits and external collaboration partners visits, ensuring all logistics are managed efficiently.
- Manage onsite capacities by utilizing our internal visitor coordination platform.
- Coordinate internal support for demos and labs.
- Act as the main point of contact for visitor needs, enhancing efficiency and hospitality.
Site Development:
- Implement Power Automate for workshop documents and event planning.
- Aggregate, visualizes, and analyses data for process optimization.
- Lead the planning of company or equivalent innovation day concepts.
- Support employer branding activities.
Ensure Compliance and Governance:
- Ensure that the site follows global and local requirements as well as internal policies by adhering to compliance processes and accompanying documentation, so the site is compliant with company policies, procedures, and local country laws and regulations, and always following Siemens Healthineers directives.
- Manage stakeholder expectations and assist in establishing new contracts for collaborations and research partnerships.
- Understand the role of Site Development in data privacy, cybersecurity and compliance topics and act as a multiplier of these principle and guidelines.
Operational Excellence and Administration:
- Manage the contract management process at the site.
- Onboarding new vendors as part of procurement process, in addition to writing purchase orders.
- Maintain Teams channels and SharePoint site.
- Work in cooperation with Management Assistant to execute processes at reception. Covers reception tasks as needed.
Coordination and Communication of Events:
- Planning and execution of internal and external events.
- Participate in the planning and execution of the internal communications editorial plan.
Qualifications:
- Bachelor's degree in Marketing, Event Management, Communications, Business Administration, or related field.
- Bi-lingual English and German. Other languages are also a bonus.
- Proven experience in event planning and coordination.
- Strong communication and interpersonal skills.
- Proficiency in MS Suite and other relevant platforms. Programming would be a plus.
- Ability to work independently and as part of a team.
- Detail-oriented with excellent organizational skills.
