Desk Secretary at the Liaison Psychiatry Service
The Department of Psychiatry (DP) is advertising a desk secretary position for the Liaison Psychiatry Service in Lausanne, with a workload between 80% and 100%. The starting date is scheduled for June 1, 2026, or to be agreed upon.
Context
The Lausanne University Hospital (CHUV) is one of the 5 Swiss university hospitals. Thanks to its collaboration with the Faculty of Biology and Medicine of the University of Lausanne and EPFL, CHUV plays a leading role in medical care, medical research, and education.
The Liaison Psychiatry Service (PLI) responds to requests for psychiatric care for patients hospitalized at CHUV. It also includes:
- The Psychiatric Emergency Reception Unit for the population of Lausanne and its region
- The management of the Vaud Psychological Unit (CPV)
- A care unit for patients with eating disorders – Vaud Center for Anorexia Bulimia (abC), with an outpatient/day center in Lausanne and an inpatient unit at the St-Loup Hospital of the Northern Vaud Hospital Establishments (eHnv).
Mission
- You are responsible for welcoming patients and their relatives, as well as visitors and collaborators, respecting the guiding principles of CHUV for the Psychiatric Emergency Reception Unit
- You provide information and guidance to patients and their relatives
- You manage telephone calls according to quality standards
- You ensure a professional and quality reception
- You provide a quick and clear response to the interlocutor
- You are responsible for the administrative management of outpatients and/or hospitalized patients, in accordance with current procedures and directives
- You schedule medical appointments and send invitations
- You are responsible for checking the entries of nursing staff services in the specific application
- You perform various administrative and logistical tasks, including mail management, stock management, and taking and drafting minutes.
Profile
- You hold a Federal VET Diploma as an office employee or an equivalent qualification
- You have completed training as a receptionist (an asset)
- You are capable of independently managing a reception or front office
- You have perfect command of the French language (spoken and written) – knowledge of a foreign language is an asset
- You are comfortable with common computer tools
- You know how to integrate into a multidisciplinary team and adapt your communication to the context with empathy
- You are service-oriented and know how to manage organization and priorities
- You have good analytical and synthesis skills
- You are flexible and know how to manage stress
- You are familiar with the structures and operations of the Vaud State services and parapublic bodies related to the Service and psychiatry activities.
