Caritas Switzerland is committed to a fair asylum procedure for asylum seekers. Since March 1, 2019, on behalf of the State Secretariat for Migration, Caritas Switzerland's legal protection provides a free consultation and legal representation service for asylum seekers at the federal centers in the French-speaking region of Switzerland, in partnership with the Swiss Union of Jewish Relief Committees and the Swiss Refugee Aid Organization.
Your tasks
- Scheduling appointments for legal representatives with asylum seekers
- Secure transmission and processing of various letters/emails between Legal Protection, different authorities, notably the SEM, and other actors in the asylum field
- Creation and regular updating of physical and virtual files (database) for Caritas Switzerland Legal Protection
- Processing various official lists related to the asylum procedure
- Support service for asylum seekers and implementation of IT systems for remote appointments
- Planning and management of various interview rooms
- Reception, management, and sending of postal mail
- Booking interpreters via a specialized platform
- Transmission of information within the different Legal Protection services
- Creation and regular updating of physical and virtual files (database) for Legal Protection
- Development and updating of procedures to follow and maintenance of various internal tracking tables
Our requirements
- Commercial employee CFC or equivalent qualification
- Proven professional experience in an administrative position
- Experience or willingness to train in scheduling
- Good knowledge of French spoken and written (level C1). Knowledge of German and English (level B2) is an advantage
- Organizational skills and flexibility
- Reliable, conscientious, and energetic personality
- High proficiency in common IT tools (MS Office, especially Excel and Outlook, internet browsers like Firefox or Chrome) and use of various databases
