Receptionist / Administrative Assistant, 80%, (m/f/d)
Our Migration & Integration Department in French-speaking Switzerland – a branch of Caritas Switzerland in Fribourg employing about a hundred staff – is responsible for the support and integration of recognized refugees in the canton of Fribourg. On behalf of the canton, we welcome newcomers to our Matran residence, help them find their own housing, provide personal and material assistance according to social welfare standards, and support them in steps towards professional and social integration. Additionally, we manage a community interpreting service active in several French-speaking cantons as well as a listening and counseling service against racism for the residents of the canton of Fribourg.
The Finance & Administration Service consists of about twenty people working in three areas of expertise. The Administration is responsible for the administrative and financial follow-up as well as the control of refugee files. The team complements social workers in all administrative aspects of monitoring social welfare beneficiaries, including financial monitoring of accounts related to social welfare. It also provides statistics related to its activities. The Reception handles the welcome desk, telephone switchboard, and mail for the Department. Finally, financial aspects related to the Department are also managed within this service.
For our main reception, we are looking for a multitasking employee with a strong sense of welcome and listening, as well as ease in communication, and sensitivity to issues related to refugee asylum.
- Ensure reception at the counter and answer the phone
- Receive, process, and forward requests and received documents
- Communicate information completely and precisely to the concerned colleagues
- Provide support to the Administration sector and the Housing Service, particularly in entering information into administrative files and electronic document management
- Carry out scanning tasks: digitization and filing of files
- Perform various secretarial tasks
- In collaboration with the training manager, accompany and train the apprentice during their time at reception
- Participate in the integration of new reception colleagues
- Commercial employee CFC or equivalent administrative training
- Mastery of the French language (oral and written) with good writing skills, as well as good knowledge of English and German
- Experience in reception and managing complex situations
- Ability to manage multiple tasks and demands
- Proficiency in common computer tools
- Ease in communication
- Excellent work organization, autonomy, and sense of responsibility
- Cross-cultural and social skills
- Knowledge of asylum and refugee issues is an asset
