The European Free Trade Association (EFTA) is an intergovernmental organisation of Iceland, Liechtenstein, Norway and Switzerland, set up for the promotion of free trade and economic integration between its members, within Europe and globally. The EFTA Secretariat provides services to the EFTA States and has offices in Geneva, Brussels and Luxembourg. The Geneva office of the EFTA Secretariat supports the EFTA Council and supplies services related to free trade agreements with countries outside the European Union, while the Brussels office assists in managing the European Economic Area (EEA) Agreement.
The Secretary-General's Office is part of the EFTA Headquarters in Geneva, comprising 22 staff members. The Facilities and Logistics Coordinator plays an important role in the day-to-day operations of the EFTA offices and activities in Geneva. Tasks include managing meeting/storage facilities and common areas, liaising with the office landlord, overseeing maintenance of the official apartments and of the office infrastructure in cooperation with IT personnel, building technicians and external contractors, as well as being in charge of office security. In addition, s/he will deliver office services such as the reception of visitors, mail/courier, stationery provision, preparation of meeting rooms for official meetings, monitoring of the facilities budget and coordination with service providers. S/he will drive the Secretary-General in his/her official capacity and ensure maintenance of the official car. The successful candidate will also provide settling-in support for incoming staff, local registrations and other Switzerland/Geneva-specific relocation matters.
It is essential for the Association that the Facilities and Logistics Coordinator is flexible and service minded, willing to assist staff with various tasks and provide for a secure and friendly working environment, including during EFTA Ministerial meetings and negotiations with partner countries from around the world.
The successful applicant may be assigned other tasks in the Secretariat.
- Commercial diploma or equivalent
- 4–6 years’ experience in facilities, logistics, or office operations, with increasing responsibility
- Valid driving licence, a clean driving record and a professional driving style
- Familiarity with international organisations and protocol matters
- Ability to understand contracts and negotiate with local service providers
- Excellent knowledge of Geneva and surrounding area
- Punctuality and reliability
- Flexibility with regards to working hours
- Excellent problem-solving skills, with a positive and proactive attitude
- Client-focused, providing quick responses to internal and external requests and an excellent sense of courtesy and tact
- Proficiency in Microsoft 365 Office
- Excellent command of written and spoken French and very good knowledge of written and spoken English

Grade: B4
Annual salary: CHF 93,239.28
The Secretary-General reserves the right to appoint a candidate at a level different from that advertised depending on the relevance and length of professional experience, demonstrated by the candidate.
EFTA is an international organisation, and the salaries and related payments are normally exempt from income taxation by the EFTA States and the host states of the EFTA duty stations. Depending on the candidate’s family status, benefits and allowances may apply.
