Become part of the dynamic and ambitious Swiss EY Entrepreneur Of The Year team and participate in an almost 30-year Swiss tradition. Your role includes various operational and administrative tasks that will contribute to the success of the EY Entrepreneur Of The Year program in Switzerland.
Your main tasks
- Support with administrative tasks: You manage the team mailbox, create and edit administrative documents (contracts, attachments, correspondence, reports, presentations), ensure compliance with internal regulations (QRM checks, BRIDGE), maintain the EY Entrepreneur Of The Year SharePoint site, organize and consolidate shared documents and materials for easy access, and coordinate ongoing communication with the program's nominees and alumni (e.g., birthday greetings, cards/eCards for celebratory occasions).
- Data management: You maintain and update the program's CRM database and create and populate the alumni database and the Power BI dashboard.
- Financial and invoice management: You ensure that invoices are created promptly and correctly, monitor payment modalities, and maintain financial records.
- Reporting: You regularly prepare financial reports and budgets as well as reports on the activities of the team/program.
- Meeting and event support: You collaborate with internal and external stakeholders to ensure the smooth running of events and meetings.
- Operational excellence: You supervise to ensure the team works smoothly and efficiently in all administrative matters, organize filing and documentation, and actively contribute to improving processes and promoting the team's success.
What we are looking for
- Educational background: Completed commercial training with Matura or Bachelor’s degree
- Digital competence: You are technically savvy with strong digital know-how and know how to use AI for task automation and data analysis.
- MS Office skills: You master all common MS Office applications (Word, Excel, including advanced functions like pivot tables, and PowerPoint) and other relevant software.
- Organizational excellence: You have excellent organizational skills and good time management to set priorities, meet deadlines, and pay attention to details. You handle confidential information professionally and discreetly.
- Proactive problem solving: You can anticipate needs and show initiative in finding solutions.
- Social skills: You communicate competently and are able to build and maintain relationships with a wide range of stakeholders.
- Work style: You are practical, flexible, and can work both independently and in a team.
- Language skills: Swiss German (native or fluent), English (C1 level)
