IOB is seeking a highly motivated and versatile early-career coordinator for projects and operations to strengthen its team.

Your role as a member of our team involves being a versatile all-rounder, supporting broader operative functions in our dynamic environment. You will be managing diverse tasks, ensuring smooth day-to-day operations, and serving as a key point of contact for internal and external stakeholders. This position includes support to various group leaders at IOB.
We seek a proactive, thoughtful individual with an action-oriented approach and strong organizational skills. You should demonstrate sensitivity to others' motivations and a deep sense of responsibility towards IOB's mission. Your communications flair will be central to this role as you craft compelling messages, manage diverse information channels, and support our internal and external communications.
Your responsibilities
- Provide day-to-day coordinative support to IOB's senior management and team leaders in all operational matters. This will include presentations, letters, memos, meeting minutes, reports, funding applications, contracts, and IP matters.
- Manage operations between IOB and external stakeholders, including project collaborators: plan and coordinate meetings and events, oversee calendars and venue bookings, and handle minute-taking, follow-ups, and all related logistics.
- Support travel planning and reimbursements, including bookings, on-site management, and related coordination.
- Assist with budget and expense tracking for research projects and events.
- Conduct web-based research on relevant topics for projects and internal needs.
- Prepare and edit correspondence, reports, and presentations.
- Act as a point of contact for IOB staff members and external partners.
- Role model strong values: display the highest standards of integrity; maintain high standards of confidentiality inside and outside IOB.
Requirements
- Academic degree (University level) in Business and Economics or Law, or a vocational commercial background such as a commercial apprenticeship (KV / commercial clerk EFZ) or commercial school (business school). First experience in an administrative or business context is an advantage.
- Interest in developing further as an operations or project support professional; development opportunities can be shaped based on your strengths and interests.
- Excellent written and oral communication skills both in English and German
- Digital and tech-savvy with strong organisational and basic project coordination skills
- Excellent interpersonal and communication skills when interacting with internal and external stakeholders at all hierarchical levels and always ensuring confidentiality requirements
- Solid knowledge ofcommon office IT programs and willingness to learn new tools
- Excellent problem-solving skills and reliability
