The Finance Department of the HUG is responsible for the financial, budgetary, and accounting management of the hospital, the administrative management of patients, tariff setting, investment planning, development and maintenance of the economic intelligence system. It manages a budget of nearly 2 billion francs, processes and controls more than one million supplier invoices and more than one million patient invoices. It proposes and publishes indicators and dashboards to monitor activity and institutional objectives. It is also responsible for producing all official statistics transmitted to health authorities.
Job Description
As a secretary, you report to the head of secretariat within the secretariats of the Finance Department, which includes the accounting, investments, medico-economic management, and revenue units, and you are the administrative referent for one or more services of one of the aforementioned units.
You are the privileged contact person for the head of service and the employees of one or more services and are responsible for orders (office supplies, technical, IT, logistics, and services).
You are also responsible for one or more specific processes within the service.
The activity is autonomous and carried out across several heterogeneous areas. You are therefore required to be versatile and transversal in your activities, within the different services and sites of the Finance Department. Notably, this includes substituting colleagues as needed and upon occasional requests from hierarchies. As a result, you may be required to travel occasionally to Belle-Idée.
You have ease in communication and interpersonal skills, as well as good stress management.
You are a rigorous, discreet, and autonomous person, with adaptability and initiative-taking skills highlighting proactivity and a sense of responsibility.
Qualifications
You hold a Federal VET Diploma (CFC) as a commercial employee or an equivalent qualification.
You have 3 to 5 years of experience in a similar secretarial role.
You possess excellent writing and oral expression skills in French. A second language is an asset.
You have perfect mastery of IT and office tools (Advanced Excel - Institutional applications such as VisionRH / DPA / Opale / e-Process / Cegid are assets).
