Since the current position holder is taking unpaid leave, you have the opportunity to gain insight into our daily court routine, gather diverse experiences, and support our well-coordinated office team during the period from June 1, 2026, to June 30, 2027 (100%).
Administrative Secretary (Team Clerk and Reception) (100%)
Your area of responsibility
- File and business administration
- Independent recording of new cases in the case management system and creation of file dossiers.
- Calculation and monitoring of deadlines
- Archiving of case files and management of the archive
- Creation of judgment books
- Issuing certificates of finality
- Communication and procedural administration
- Appointment coordination as well as correspondence with parties, their representatives, and authorities
- Creation and dispatch of summons and postponement notices
- Drafting and dispatch of court decisions
- Notifications of decisions to other offices
- Preparation and publications in the official gazette and SHAB as well as advertisements in newspapers
- Reception and office services
- Assessment and forwarding of incoming mail, electronic mailboxes, and platforms to the responsible judges
- Management of the reception desk including entrance control
- Receipt of requests and concerns
- Substitution at the telephone switchboard
- Office and operational organization
- Regular assumption of the on-call week
- Organization of courtrooms for trial operations
- Holiday and absence coverage within the commercial office
Your profile
- Commercial background – completed commercial or equivalent training with professional experience
- Experience in an administrative environment – ideally experience in administration, court, or law firm
- High concentration ability: – quick comprehension as well as independent, structured, and careful working method, combined with the ability to implement this even in lively situations
- Good expression and communication skills – very good German skills in spoken and written form; foreign language skills are welcome!
- Friendly, confident, and service-oriented demeanor when dealing with parties and visitors
- Enjoyment of teamwork – teamwork skills, resilience, discretion, and interest in legal and organizational contexts
