ROLE DESCRIPTION
• The Assistant Onboard Operations Manager is part of the head office River Onboard Operations team, reporting to the Senior Manager of Onboard Operations and working closely with the onboard teams (mostly Hotel Managers and Guest Services), the corporate teams and customer relations.
• Your activities will cover all areas of operation, and your main responsibility will be assisting the ship teams in fulfilling their administrative duties so that they can focus fully on delivering a great guest experience.
• You will also be responsible for ensuring that all ship reporting is filed in a timely and compliant manner, to guarantee accurate company statistics and ensure solid tracking and correct recording of all facts related to the river fleet day-to-day operations.
• The role is based in Basel, Switzerland and requires very limited travel. Please note that we can only accept applicants who are eligible to work in Switzerland or in possession of a valid work permit.
KEY RESPONSIBILITIES
• River fleet support
o Monitoring the river fleet e-mail inbox, assessing incoming matters and promptly following up with a clear plan of action where needed
o Act as a link between the river fleet and the customer relations teams in the US, the UK and Australia/New Zealand to support and facilitate the resolution of any guest related issues such as guest complaints, insurance issues, lost & found shipment requests.
o Assisting the ships with any ongoing operational challenges, and following up with the relevant departments and support teams until resolution
o Reviewing and managing Accessibility Services request
o Monitoring and supporting with handling of Accident and Illness cases
o Monitoring and controlling the correct and timely submission of reports by the ship teams
• Office administrative tasks
o Support the onboard financial controlling function as needed (e.g. funding ship credit cards)
o Assisting in delivering administrative trainings to crew at season start
o Managing the F&B Menus and Cruise Menu Cycles in our system (MXP)
o Assisting with Menu Administration of the Basel employee restaurant
o Support the Cruise Layout management and administration process
o Review and maintain yearly the Viking Daily templates for all itineraries
o Support with the setup of season start & season end checklists and preparations
KEY QUALIFICATIONS
• Relevant international hospitality background, with a focus on administrative tasks
• A strong service oriented & guest focused mindset
• Communicative and outgoing personality, willing to support colleagues with a positive attitude
• Attention to detail: precision & accuracy in data entry and solid organizational skills
• Ability to work efficiently and independently, also under pressure
• Excellent English skills; German or French is a plus
• Highly proficient in MS Outlook, Excel, Word, SharePoint and PowerPoint
EDUCATION
• High school diploma or equivalent; any further relevant education is a plus
