Attached to the Department of Medicine , the Cardiology Department manages, on diagnostic and non-surgical therapeutic levels, adult patients suffering from heart disease. It performs endovascular interventions on cardiac and peripheral vessels, myocardium, and valves.
Job Description
As part of several ongoing projects within the cardiology department and to strengthen the administrative team and ensure the continuity of secretarial activities, the position holder is responsible for the versatile secretarial duties of the department.
You actively support the planning and coordination of the department's activities, notably assisting the secretariat responsible for scheduling interventions.
You ensure the logistical and administrative preparation of the department's meetings, ensuring their smooth running and the provision of all necessary materials.
You participate in the follow-up of clinical documents of outpatient units, billing processing, as well as various tasks related to the administrative management of the department.
You work closely with the head of the secretariat in the areas of planning, organization, and coordination of the department's activities.
You actively contribute to internal planning, smooth communication, and coordination between the different cardiology units.
You provide administrative support within the framework of transversal projects of the department or any other mandate entrusted by the hierarchy.
You are responsible for drafting letters, administrative and technical reports, meeting or conference minutes, ensuring the quality of presentation and wording.
You perform, according to the department's needs, any other administrative mission within your competencies.
Qualifications
You hold a Federal VET Diploma as a commercial employee, a diploma as a medical secretary, or an equivalent qualification. You have two to three years of confirmed experience in a similar position, ideally within a medical secretariat.
You have excellent command of standard computer tools, notably Word (ECDL Advanced level) and Excel (ECDL Standard level), as well as software used at the University Hospitals of Geneva, such as DPA, DPI, GRECO, and OPALE, as well as common application programs. Mastery of the Vision HR tool, particularly for planning, is highly recommended, as well as an excellent knowledge of the Problem Brick (BP) and the Dragon Medical Direct (DMD) software.
You possess excellent command of French, both spoken and written, with impeccable spelling and a solid knowledge of medical terminology.
With a developed team spirit, you are able to work effectively in a shared work environment with several secretaries. You are an organized, methodical, and precise person, able to set priorities with discernment while demonstrating autonomy, rigor, and dynamism in carrying out your tasks.
Your ease in managing unforeseen events and stressful situations, combined with your adaptability and versatility, allows you to actively support managers in their administrative activities. Finally, you demonstrate a keen sense of confidentiality and always ensure strict compliance with current standards and procedures.
