Job Description
The Regional HR Rewards and Project Manager will be a key member of the Global HR team, responsible for leading and optimising HR operational processes across multiple regions. This role ensures the efficient delivery of HR services, adherence to global employment laws, and the implementation of best practices to support both business objectives and a positive employee experience. Additionally, the employee will be responsible for delivering Vitol’s compensation and benefits programme as well as handling the payroll for Geneva.
Core duties and responsibilities include, but are not limited to:
Compensation & Benefits
- Run the Geneva payroll in collaboration with the external payroll provider, ensuring accuracy of the monthly variable submissions and reconciliations, meeting all deadlines
- Manage relationship with local external payroll vendors and benefit service providers
- Operate the employee benefits programmes, e.g. pensions, wellness benefits
- Maintain up-to-date knowledge of local labour laws and tax regulations affecting compensation and benefits. Ensure compliance with local payroll laws and regulations
- Identify opportunities to streamline and automate payroll and benefits processes, implement technology solutions to improve efficiency and accuracy
Projects
- Lead and inspire the regional HR operations team, fostering a culture of service excellence and continuous improvement
- Oversee inputting and maintenance of accurate, up-to-date employee data in HRIS, including performing periodic data integrity checks and management reporting
- Oversee the management of the employee lifecycle, i.e. onboarding/offboarding, transfers and leavers whilst ensuring compliance with regional and local regulations
- Oversee workflows and logistics associated with international assignments, i.e., arrange visas, relocations and tax compliance
- Partner with the L&D team on Learning Administration, i.e. training schedules, logistics, and maintenance of accurate records of training activities and employee participation in HRIS
- Support the integration of new entities or teams following mergers, acquisitions, or expansions. e.g. onboarding new businesses into HRIS which feeds other relevant systems
- Partner with HRIS team to regularly review and enhance processes, leveraging technology (automation, self-service portals, AI) to improve employee service delivery
- Streamline and automate routine administrative tasks (payroll & benefits inputs, HR administration, Invoicing) to improve efficiency and reduce costs
- Leverage economies of scale to reduce administrative overhead and deliver cost savings to the business
- Ensure consistent processes and policies (where possible) across offices globally, supporting compliance and scalability
Qualifications
- Minimum of 8 years’ experience in a similar function in Compensation & Benefits, HR Operations, HR Project Management or Shared Services Delivery, role in a global or regional capacity
- Confidence with numbers, data and reporting
- Experience in improving or implementing new HRIS a plus
- University degree
- Strong knowledge of HR processes, employment law, and compliance requirements
- High level of accuracy and attention to detail is crucial
- Excellent command of Excel is required, Power BI is a plus
- Ability to work in a fast-paced and demanding role, multitasking capabilities are essential
- Capable of prioritising tasks and meeting critical deadlines
- Excellent communication, fluency in both French and English is required
