It fulfills a fourfold mission through its services, which provide expertise in frequent interaction with all Geneva University Hospitals, thanks to a transversal platform, aiming to ensure the best possible patient care.
The Intensive Care Unit cares for adult patients who present or are in immediate danger of developing vital organ failures due to a pathology or its complications, whether medical or surgical, and whose life is generally at risk. It also advises and intervenes as needed during resuscitation situations in other HUG departments and participates in urgent hospital interventions.
Job Description
Within the Intensive Care Unit, you perform all administrative tasks related to the service's activities.
You manage the scheduling of consultations (appointment booking, convocations, file preparation, document scanning) and organize additional examinations, while ensuring the proper follow-up of the medical file and the patient’s trajectory.
You handle all clinical documentation for the service (consultation reports, discharge letters, medical certificates), as well as the related follow-up and billing.
You draft and format various documents (correspondence, minutes, reports, development/update of procedures, etc.) and perform logistical tasks such as work requests, stock management, and room reservations.
You record postgraduate teaching hours, organize the arrival of 6th-year medical interns and new resident doctors in the service, and manage certain training schedules for medical teams.
You answer telephone calls and provide physical reception for patients and/or their relatives.
You manage mail and email correspondence.
You handle patient and insurance files and complaints (follow-up, typing documents, research, filing, scanning) and participate in the follow-up of billing files.
Thanks to your interpersonal skills, you develop close relationships with your colleagues and ensure service continuity by covering absences. More generally, your service-oriented mindset makes you a flexible person ready to apply your versatility within the institution to work in different departments as needed.
You enter and update statistics related to the activity.
Qualifications
You hold a diploma as a medical secretary or an equivalent qualification.
You have 3 to 5 years of successful experience in a similar position within a medical secretariat.
You have perfect mastery of written and spoken French and proven writing skills.
Medical terminology is easily understandable to you. Knowledge of English is an asset.
You have very good computer skills (standard ECDL level on Word, Excel, PowerPoint, Outlook and/or Web EXIGÉ) as well as familiarity with software used at HUG (DPA, DPI, GRECO, Qualiac, Opale).
You are a team player and able to work in a shared office with several secretaries.
While having excellent organizational and prioritization skills, you are autonomous, dynamic, rigorous, and precise in your assigned tasks.
Finally, you demonstrate a strong sense of confidentiality.
