Executive Assistant (80-100%)
In this exciting role as an Operations Specialist, you will provide high‑level executive and administrative support to the Operations Director and the department. You will play a key role in coordinating organisational processes and facilitating smooth communication.
Key Responsibilities
Administrative Support & Coordination
-
- Manage various correspondence and administrative tasks for the Director and the Operations Department team.
- Oversee the Director’s calendar and travel arrangements.
- Coordinate calendars and administrative workflows for the leadership team in collaboration with colleagues from other departments.
- Maintain and update the department’s virtual library.
- Manage the Director’s expenses on Concur.
Translation & Document Management

- Manage translations and proofreading of documents in French, German and English
- Coordinate translation needs with the external translation service.
- Support in translations and update PACE documents (restaurant performance monitoring program).
Meeting & Event Organization

- Organize periodic meetings for the Operations Department.
- Coordinate and prepare Business Leadership Council (BLC) meetings and business meetings with franchisees, the Swiss Executive Team (SET), and other Head Office participants as required.
- Provide onsite support for the annual CoOp Meeting, gathering franchisees, restaurant managers, supervisors, and Head Office employees.
- Organize team outings for the department.

- Manage the company restaurants’ recognition program (individual Awards).
What You Need to be Successful
-
- Highly organized, proactive, and able to manage multiple priorities in an international environment
- A CFC (Swiss Federal Certificate) in Commerce or equivalent qualification completed with the Executive Assistant Federal Diploma of Higher Education is a strong plus
- 4-5 years of experience in a similar administrative or operational coordination role
- Strong proficiency with office tools
- A structured, reliable, and solution-oriented working approach
- Excellent communication and interpersonal skills
- Languages: fluent in French and/or German and excellent English knowledge, Italian is a plus
