File Manager for the Medical Directorate of the DP
The Medical Directorate of the Department of Psychiatry is offering a position for a file manager for insurance-related matters at 70% starting November 1, 2025, at the Cery site.
Context
The Lausanne University Hospital (CHUV) is one of the 5 Swiss university hospitals. Thanks to its collaboration with the Faculty of Biology and Medicine of the University of Lausanne and EPFL, CHUV plays a leading role in medical care, medical research, and education.
The Department of Psychiatry consists of 11 services addressing the three stages of life. It covers the Central, West, and North psychiatric sectors of the canton. Its mission is the comprehensive and multidisciplinary care of children, adolescents, adults, and elderly people suffering from mental disorders. Caregivers provide acute care to patients but also offer outpatient follow-ups and support in their usual living environment.
Mission
- Manage medical information requests
- Receive and sort requests
- Initiate workflows and forward them to the relevant units
- Ensure follow-up and reminders
- Manage information requests, disputes, and litigation from insurers or third parties in collaboration with the billing department
- Receive requests and ensure follow-up
- Ensure follow-up of requests by reminding clinicians
- Participate in collecting essential elements during billing disputes by a payer
- Support the medical directors responsible for insurance matters in preparing responses to information requests and in their subsequent archiving
- Collect essential and useful elements for requests concerning discharge reports related to hospital or outpatient stays
- Redact under the supervision of the Medical Directorate physician
- Send response files to requesters
- Actively contribute to the quality, development, and improvement of the unit's services
- Participate in the precise description of secretarial tasks and their updating
- Participate in updating reference documents related to the unit's activity
- Provide support to colleagues for various tasks and contribute to teamwork.
Profile
- You hold a Federal VET Diploma as a commercial employee, or an equivalent qualification, complemented by a diploma as a medical secretary and/or in health insurance, an asset
- You have at least 5 years of experience working autonomously in a secretarial role and/or in a hospital environment
- You have excellent command of French, both spoken and written; knowledge of a foreign language is an asset
- You have advanced skills in common computer tools
- You are able to integrate into a multidisciplinary team
- You know how to adapt your communication to the context and demonstrate a spirit of mutual aid and collaboration
- You have a sense of discretion and demonstrate rigor and flexibility
- You possess organizational and prioritization skills, as well as good analytical and synthesis abilities
- You have knowledge of the structures and functioning of state services and semi-public bodies related to the service and psychiatry activities
- You have knowledge of the clinical documentation in force at CHUV, an asset.
