Attached to the Department of Medicine , the Cardiology Department manages, on diagnostic and non-surgical therapeutic levels, adult patients suffering from heart disease. It performs endovascular interventions on cardiac and peripheral vessels, the myocardium, and valves.
Job Description
You are responsible for managing the outpatient clinic secretariat. In this context, you independently handle the scheduling of consultations and outpatient examinations (appointment booking, convocations) and the organization of additional examinations, while ensuring the proper follow-up of the medical file trajectory.
You handle telephone reception and the physical reception of patients and/or their relatives.
You process same-day appointment requests (emails / DPI Visa) and format consultation reports (problem list), standard letters as well as their filing and forwarding.
You also manage telephone calls and perform administrative tasks related to the function (document scanning, preparation of daily programs and files).
You keep the doctors' schedules up to date in GRECO (vacations, congresses, courses, creation of shifts).
You produce outpatient clinic secretariat statistics (once a month), organize FMH exams every two years as well as the annual heart failure symposium, organize outpatient clinic meetings (room booking, drafting minutes, meal orders).
You are comfortable managing DRM.
Qualifications
You hold a Federal VET Diploma as a commercial employee and/or a diploma as a medical secretary or equivalent training.
You have 2 to 3 years of successful experience in a similar position within a medical secretariat.
You have very good knowledge of standard IT tools Word, Excel (ECDL level) as well as software used at HUG (DPA, DPI, GRECO, OPALE) and existing application programs.
You have excellent mastery of the Problem List (BP) and knowledge of the Dragon Medical Direct (DMD) software.
You have excellent spelling and French language skills as well as medical terminology.
Possessing a good team spirit, you are able to work in a shared office with several secretaries.
While having excellent organizational and prioritization skills, you are autonomous, dynamic, rigorous, and precise in the tasks assigned to you.
You also have the tools to handle unforeseen events and easily manage stressful situations and priorities.
Your adaptability and versatility will allow you to support managers in their administrative activities.
Finally, you demonstrate a strong sense of confidentiality and have the ability to comply with standards and procedures.
