Job opening within the TSHM Carouge Action for a social secretary position with a variable rate (25% to 30%), fixed-term, for the period from April to September 2026 (exact date and duration to be specified). The position corresponds to a 30% maternity leave replacement, preceded by a 25% work period before the leave begins.
Job Description
- Assume the internal organization of the team's secretariat, assisting the team leader in coordinating activities, processing and providing information,
- Perform various secretarial tasks: managing emails, letters, notes, taking minutes, statistics, deadlines, housekeeping, supplies, managing the appointment calendar, external communication tools (website, monthly and activity reports, slideshow creation),
- Project follow-up with management of the general calendar, retroplanning, project specifications, monitoring indicators and assisting in drafting possible submissions for fundraising,
- Compile, verify and utilize files, ensure the follow-up of the filing and archiving system,
- Assist the team in various administrative tasks, notably related to the FASe general secretariat, team attendance management (Tipee validation), budget management for monitors and XP internships (tracking and filing contracts, preparing quotes),
- Follow up on equipment reservations and manage rooms made available to the team,
- Collaborate with the municipal administration.
Qualifications
- Possess a commercial employee CFC or an equivalent qualification, with at least 3 years of similar professional experience,
- Interest in working with youth,
- Ease in human relations with diverse audiences: youth, families, municipalities, partners,
- Excellent writing skills, recognized competence in minute-taking and layout,
- Very good command of common computer tools,
- Ability to work independently, to take useful and appropriate initiatives for the smooth running of the team, in close connection with its managers,
- Sense of responsibility, good organizational, planning, and emergency and unforeseen event management skills,
- Good knowledge of the Geneva social system, the functioning of FASe, and the municipalities.
