This is a full-time Executive Assistant position based in our headquarters in Geneva reporting to the Head of PWM Middle East & Africa (MEA) Zone.
Your role
- Operate in a fully confidential manner with a high level of discretion, autonomy and proactivity in the interests of the MEA Zone Head and the Zone, where appropriate, while improving efficiency and streamlining processes.
- Responsible for administrative tasks to support the MEA Zone Head in his day-to-day activities and assist the smooth functioning of the management of the Zone.
- Manage the inbox of the Zone Head, including redirecting and responding as appropriate.
- Manage diaries and organize meetings for the Zone Head and the Zone, including the collation and distribution of meeting materials (such as Team meetings, Executive committees, Townhalls, offsites, trainings for MEA Zone employees and other meetings with external parties).
- On occasion, take minutes of meetings and distribute key items covered and action points.
- Prepare PowerPoint presentations and Excel reports for internal or external purposes, as well as communications to the Zone employees.
- Organise all travel itineraries for the Zone Head and occasionally for other MEA ExCo members.
- Manage travel and provider invoices and submit expenses.
- Liaise with third-party providers particularly in the coordination of meetings.
- In coordination with the Chief of Staff and if needed, organize all necessary training and introductory meetings for new joiners within the Zone, coordinate with required teams and escalate issues to ensure smooth onboarding.
- Assist with projects and events of the Zone (townhalls, offsites, etc.) with venue selection, booking, catering and logistics.
- Support the Head of Zone’s direct reports with complex meeting organization and as required, ad-hoc small projects such as collecting various inputs (specific queries, marketing events…) and compiling them and following up on the Zone Head’s requests.
- Establish strong working relationships with PWM MEA teams, other executive assistants and various stakeholders.
Your profile
- Proactive and resourceful, with the ability to work independently as well as part of the MEA Zone team.
- High level of discretion and confidentiality.
- Excellent organisation skills, with strong problem-solving abilities and the capacity to multitask and prioritise
- At least 5 years’ experience as an Executive Assistant supporting senior stakeholder(s) within a multicultural corporate world.
- Professional qualification: holder of a CFC or an equivalent qualification.
- Knowledge of, or experience in, the financial services industry is preferred.
- A true team player who is flexible. able to work effectively under pressure, build positive relationships with all stakeholders and open to learning and taking on new responsibilities.
- Comfortable operating at an intermediate level with standard office software (Word, Excel and PowerPoint) and able to adapt to new systems.
- Must be resident in Switzerland or willing to relocate.
- Fluent in English and French.
