La Plaine Residence is part of the Mandement EMS and houses 92 residents. We support people of AVS age who have lost autonomy and sometimes suffer from psychological or psychiatric disorders. Our philosophy is based on multidisciplinary collaboration.
As such, we are looking for a quality agent at 80-100% on a permanent contract
The missions are as follows:
Main missions
General secretariat
- Writing minutes of management meetings and following up on decisions.
- Managing the institutional calendar in coordination with the activity manager, with reminders of key deadlines.
- Writing and distributing institutional communication (families, relatives, partners) and managing these contacts.
Quality
- Promoting continuous improvement in all activity sectors.
- Implementing daily quality monitoring tools.
- Managing internal audits and organizing external audits.
- Conducting internal training: use of the DMS (Sadies), fire training, use of internal tools or software.
- Monitoring incidents and serious events.
Document management (DMS)
- Managing and updating the DMS.
- Participating in the initial redesign and restructuring of documentation (architecture, filing rules, versioning).
Profile sought
Required skills
Education level
- Bachelor's degree in business management, management information systems, or equivalent.
- Ideally complemented by training in quality systems.
Technical skills
- Proven experience in managing a document management system.
- Project management practice, audit analysis and methodology.
- Ability to analyze results, detect flaws and propose solutions (continuous improvement).
- Mastery of administrative writing (minutes, summaries, communications).
- Mastery of office and reporting tools (MS Office).
- Ability to use AI.
- Skills in institutional communication (letters, emails, information to families and partners).
