Unit Secretary in Charge for the Radio-Oncology Service
To complete its team, the radio-oncology service is looking for a unit secretary in charge at a rate of 80%-100%.
Context
The Lausanne University Hospital (CHUV) is one of the 5 Swiss university hospitals. Thanks to its collaboration with the Faculty of Biology and Medicine of the University of Lausanne and EPFL, CHUV plays a leading role in medical care, medical research, and education.
Our UNIL-CHUV Oncology Department brings together cancer clinic and research with an innovative spirit. It includes the medical oncology, radio-oncology, hematology services with the CHUV bone marrow transplantation activity, and the experimental therapies center. It also integrates the Lausanne branch of the Ludwig Institute for Cancer Research (LICR) for cancer research, particularly in immunotherapy.
The radio-oncology service (RTH) stands out for a resolutely multidisciplinary approach, ensuring each patient receives comprehensive, personalized, and humane care. Mission
- You ensure efficient and autonomous management of the medical secretariat of the service and participate in its smooth daily operation
- You manage the medical secretariat of the head of service's department: organizing consultations, administrative follow-up of insurances, and drafting medical reports
- You ensure the operational management of the administrative activities of the RTH platform and contribute to guaranteeing optimal and efficient functioning of the desk and medical secretariat
- You plan the work of the platform team (organize presence/absences, establish a replacement organization plan, ensure equitable task distribution, etc.)
- You manage activity monitoring dashboards and ensure deadlines are met
- You supervise the operational teams of the platform (participate in recruitment, plan and verify the proper integration and training of new employees)
- You conduct periodic evaluations of the RTH platform administrative team, provide feedback, and participate in team development
- You are the administrative and quality reference person
- You participate as a representative for the administrative line in various working groups and projects for the service and the Department.
Profile
- You hold a Federal VET Diploma as a commercial employee, a medical secretary diploma, or an equivalent qualification; training in HR and/or management is a real asset
- You have five years of professional experience as a medical secretary, and ideally at least two years of team management experience
- With a strong sense of responsibility, you are recognized for your ability to manage and unite a team
- Endowed with very good organizational skills, you know how to manage priorities and are capable of analyzing and synthesizing information from various interlocutors
- You are adaptable and demonstrate the flexibility necessary for the smooth operation of a public service
- Your open-mindedness and client orientation enable you to welcome and respond to a wide variety of requests
- Extremely rigorous and proactive in your work, you are perfectly comfortable with the IT solutions and tools of a large organization
- You have very good mastery of common IT tools (Microsoft Office).
