Foundation
ADMINISTRATIVE ASSISTANTS - ON CALL
Possible deployment on one of the three campuses for each assignment (duration of assignments may vary from a few hours to a few weeks/months).
Job Objective
Join a team within the administrative secretariat of primary or secondary schools, under the responsibility of the school secretariat manager, campus manager, or Foundation services.
Responsibilities
Ensure the smooth running of the secretariat through administrative tasks:
- Student admission and exit procedures
- Support for student admission files
- School correspondence (letters, certificates, emails, etc.)
- Organization of parent-teacher meetings
- Ordering materials for the department and tracking orders
- Other administrative tasks, including translations, creating spreadsheets and presentations
- And any other task delegated by the secretariat
Guidance and support for children:
- Availability and willingness to support children in need with a caring personality
- Participate in student admissions (creating and updating school files)
- Create and maintain electronic files for all new students, adding report cards and other supplementary documents
Create enrollment certificates and attestations
Ensure the updating and proper functioning of technologies:
- Updating various mailing lists
- Creating and updating manuals
Support communication management and relationship development:
- Contribute to the organization of school events: parent-teacher meetings, diploma ceremonies, pedagogical days, etc.
Candidate Requirements
- Training in secretarial work / Technical diploma in the relevant field.
- At least 4 years of professional experience as an administrative assistant.
- Bilingual French/English. Other languages are an asset.
- Attentive personality and enjoys working with young children.
- Ability to work in a team and active listening skills.
- Flexibility and adaptability.
- Proficiency in ICT (Google environment).
- Excellent organizational skills to enhance service performance.
- Ability to work independently, evaluate work, and provide feedback.
- Initiative and ability to solve complex problems.
